Job summary

Medline Industries, LP is seeking a Tender Agent in Brussels to support the end-to-end tender management process, coordinating submissions for public and private customers. You will ensure compliance with procurement rules and collaborate with logistics, sales, and marketing to deliver high-quality tenders on time.

The role requires 1–2 years in tender management or related administration, strong English and Dutch, and excellent organizational and communication skills.

Qualifications

• 1–2 years of experience in contract and/or tender management.
• Background or strong interest in administration, legal topics, or customer service.
• Solid oral, written, and interpersonal communication skills.
• A sense of pride in delivering high-quality work within agreed timelines.
• Strong administrative skills and attention to detail.
• Ability to manage multiple tasks and conflicting priorities effectively.
• A calm and professional approach when interacting with customers.
• Confidence in communicating with stakeholders at all internal and external levels.
• Proficiency in English and Dutch.
• Strong organizational skills, resulting in a methodical and structured way of working.
• Good command of MS Office.
• Ability to work effectively as part of a team as well as independently.

Responsibilities

• Support the end-to-end tender management process.
• Prepare, coordinate, and deliver high-quality tender submissions within required timelines.
• Ensure full compliance with public procurement requirements when working on tenders.
• Coordinate with internal teams such as logistics, sales, and marketing.
• Review and final sign-off of proposals and tender documents.
• Suggest and support improvements to systems and processes while handling tender submissions.

In the role of Tender Agent, you will be responsible for supporting the end‑to‑end tender management process. You will prepare, coordinate, and deliver high‑quality tender submissions within the required timelines, ensuring that both existing and new customers receive best‑in‑class tender solutions.

• Experience with providing administrative support for tenders for both public and private customers.
• Ability to ensure full compliance with public procurement requirements when working on public‑sector tenders.
• Confidence in coordinating the tender process and collaborating with internal teams such as logistics, sales, and marketing.
• Strong skills in background research, document searches, and data collection needed for tender preparation.
• A reliable approach to meeting tender deadlines and taking ownership of timely delivery.
• Capability to support the review and final sign‑off of proposals and other tender documents.
• A proactive mindset with a willingness to suggest and support improvements to systems and processes.
• Familiarity with CRM systems, including tracking contracts, managing issues, reporting trends, and responding to stakeholder inquiries.
• Readiness to handle sample order placements required for tender submissions.
