Ring Kortrijk, a leading shopping centre in West Flanders and part of the Wereldhave Belgium group, an established player in Belgian commercial real estate. You will work at the heart of a dynamic environment, in direct contact with the centre team, our retailers, partners and visitors.
Your impact on our organisation?
You are the centre team’s administrative and operational anchor. You ensure smooth day-to-day operations, build strong relationships with retailers and actively contribute to the development of Specialty Leasing and The Point. Your organisational skills and results-driven approach make a real difference.
Your responsibilities as Management Assistant:
- Manage the day-to-day secretarial activities: phone calls, emails and welcoming visitors.
- Support the Shopping Center Manager and Facility Manager by managing calendars, organising and following up meetings, preparing minutes and monitoring insurance files.
- Act as the first point of contact for retailers and manage their administrative follow-up, including written communication and database management.
- Coordinate cross-functional projects with the centre teams, including supplier contacts, budget and footfall analyses, event organisation and action follow-up.
- Manage SharePoint and keep the centre’s documents up to date.
- Check and process purchase invoices and manage office supplies.
- Contribute to on-site duty cover, including selected weekends on rotation with colleagues, promptly report issues and develop an excellent knowledge of the centre, its partners and retailers.
- Develop Specialty Leasing by prospecting, preparing and managing temporary contracts, handling invoicing and achieving targets for pop-ups and sales stands.
- Ensure the quality of temporary installations, in line with visual merchandising requirements, and identify new concepts that strengthen the commercial mix.
- Organise Christmas markets and Eco-Days in coordination with the relevant stakeholders.
- Lead The Point’s service offering by monitoring contracts and targets and developing new services and products for visitors.
- Manage The Point’s financial and operational activities, as well as team scheduling, coaching and training.
- Provide exceptional back-up support at The Point when team members are absent, including at weekends.
Your profile:
- Higher education degree or equivalent professional experience.
- Native-level Dutch and a good basic command of French and English.
- Good command of Microsoft Office (Word, Excel, PowerPoint, Access and Outlook); SharePoint knowledge is an advantage.
- Excellent organisational skills, accuracy, reliability and confidence working with figures.
- Strong communication skills and a professional manner, with a genuine service mindset and interpersonal ease.
- Independence, proactivity and resilience under pressure; you anticipate needs and seek practical solutions.
- Team spirit, ambition and a results-driven mindset, combined with flexibility and openness to change.
- Flexible availability: selected Saturdays and weekends are part of the role; you do not have a nine-to-five mindset.
