Job summary

Kentan Machinery in Hexham is seeking an experienced Service Advisor to support our expanding agricultural and construction machinery dealership. You will handle service department administration, invoicing and warranty processing to ensure efficient service delivery.

The role is full-time, Monday–Friday at Hexham, reporting to the Service Manager. The ideal candidate will have several years of experience in a similar environment. Kentan Machinery is an equal opportunity employer.

Responsibilities

• Carry out service department administration tasks including liaising with customers, suppliers and staff.
• Raise repair orders and handle invoicing, payments and account reconciliation.
• Verify invoicing details and values, including parts, labour and travel.
• Manage warranty papers and assist with warranty claims.
• Prepare, submit and track warranty repair orders and claims per policy.
• Maintain accuracy and timeliness of warranty credits and payments.
• Communicate with manufacturers regarding customer repair queries.
• Act as liaison between customer and Service department to ensure proper maintenance.
• Provide assistance to the Service Manager as required.

Established in 1970, Kentan Machinery is a successful and growing family owned agricultural and constructionmachinery business with dealerships at Hexham, Taree, Muswellbrook, Central Coast & Tamworth. We are an authorised sales and service dealer for Kubota Tractors and Excavators as well as retailing agricultural and construction implements from a number of respected leading global brands.

Due to our expansion, we are currently seeking an experienced self-motivated individual for the position of Service Advisor. Successful applicants should preferably have several years of experience in a similar environment and/or related industry.

This position is located at our Hexham dealership and is a full-time role, Monday to Friday and reports to the Service Manager in the same location.

KEY RESPONSIBILITIES

• Carry out administration jobs within the Service Department including but not limited to the following: liaising with customers/suppliers/staff, raising repair orders, internal and retail invoicing, account reconciliation and payments;
• Respond to customer service enquires in a courteous, professional & timely manner;
• Ensure invoicing details and values are correct prior to the customer receiving the invoice, complete with and including all parts, labour, oil, consumables, sublet charges and travel;
• Management of all warranty papers & assist with claims;
• Prepare, submit, and track all warranty repair orders & claims according to dealership & manufacturer policies;
• Pay close attention to detail, accuracy & timeliness of claims to ensure both Service & Parts departments receive proper credit & payments due;
• Process, submit & balance all extended warranty claims;
• Speak to the manufacturer on behalf of the customer with any enquires or concerns about the repair;
• Work as liaison between customer and the Service department to assure the customer’s machine is maintained & repaired to dealership standards;
• Provide assistance to the Service Manager as required.
