Job description

At Safetech, we design, manufacture, and support market-leading lifting and materials handling solutions across Australia. Our success relies on exceptional service delivery and that starts with great communication and seamless coordination.

We are looking for an energetic, organized, and proactive Service Administrator to be the operational heartbeat of our service team.

In this varied role, you will be the first point of contact for our valued clients, coordinate work for our field and workshop technicians, and keep operations running like clockwork.

What You’ll Do
  • Be the Face & Voice of Safetech: Manage incoming calls and email inquiries with warmth and professionalism, connecting customers directly with the right solutions.

  • Coordinate Service Jobs: Log service requests in SAP, generate work orders, assemble job packs (drawings, manuals, SWMS/JSAs, and site permits), and track jobs from initial dispatch through to completion.

  • Parts & Procurement: Raise purchase orders for replacement parts and consumables, liaise with suppliers, manage back-orders, and handle warranty returns.

  • Invoicing & Records: Collate technician timesheets, service reports, and parts usage to issue timely, accurate billing. Maintain digital and physical documentation to audit-ready standards.

  • Customer Follow-Through: Check in with clients post-service to ensure total satisfaction, handling any queries or escalations efficiently.

  • Operational Support: Help prepare weekly KPI and job status reports, assist with technician travel arrangements, and contribute to continuous improvement (5S/Lean) initiatives.

What You’ll Bring
  • Background: Proven experience in service coordination, dispatch, or technical/industrial administration (manufacturing, engineering, or trades environments preferred).

  • Systems Savvy: Strong digital literacy; experience with SAP (or a similar tier-1 ERP) is highly regarded.

  • Organizational Grit: Exceptional multitasking skills with the ability to manage competing priorities, job packs, and procurement deadlines without dropping the ball.

  • Communication Skills: A natural problem-solver with clear, professional written and verbal communication.

Qualifications
  • Year 12 completion (Certificate III/IV in Business Administration or equivalent is a plus).
