Job summary

Spiral Duct Australia Pty Ltd – Braeside VIC is seeking an Internal Sales Representative to handle day-to-day internal sales, respond to customer enquiries, process orders and follow up on quotations. A sound technical understanding of HVAC and ductwork is preferred to provide accurate advice and support while collaborating with production and the wider sales team.

You will maintain high levels of customer service, manage quotes and orders in the CRM, and work closely with dispatch to confirm

The Internal Sales Representative is responsible for the day-to-day internal sales function, responding to customer enquiries, processing orders, and following up on quotations already issued. The role requires a sound technical understanding of HVAC and ductwork products in order to provide accurate advice and support to customers. Working closely with production and the wider sales team, the role helps ensure customers receive accurate, responsive, and professional service on every enquiry and order, maintaining Spiral Duct's reputation for reliable customer service.

Key responsibilities

• Respond promptly and professionally to customer enquiries regarding pricing, lead times, and product specifications
• Provide customers with accurate technical and product knowledge on ductwork and associated HVAC products
• Process customer orders accurately and in a timely manner
• Follow up outstanding quotations to maximise conversion to confirmed orders
• Provide customers with order status updates and respond to general account queries
• Maintain positive day-to-day relationships with existing customers through professional and responsive communication
• Maintain accurate records of quotes, orders, and customer interactions in the CRM system
• Liaise with production and dispatch to confirm delivery timeframes and order status
• Communicate order and quote updates to the internal sales team and relevant departments
• Assist with resolving customer queries relating to orders, pricing, or delivery

About you

• Technical understanding of HVAC products and systems, or the ability to quickly acquire this knowledge
• Ability to provide customers with accurate product and technical information on ductwork and associated products
• Experience in a sales, customer service, or internal sales role, preferably within the HVAC, mechanical services, or construction industry
• Strong communication and interpersonal skills, with the ability to build trust and rapport with customers
• Proactive and results-driven approach, with a strong focus on customer service
• Comply with all applicable workplace health and safety requirements
