Smartair Diffusion is seeking an Internal Sales Coordinator to join our Sydney team. You will handle customer inquiries, quotations, orders and delivery coordination, acting as a key contact for customers and distributors. Training will be provided to build product knowledge and confidence.

You’ll work with our sales, technical and operations teams to deliver responsive, professional service and support a busy, varied workload.

Qualifications

• Strong communication skills for customer contact and coordination.
• Excellent organisational skills to manage multiple orders and data.
• Experience in internal sales, sales admin or customer service.
• Proficiency with Microsoft Office and learning business systems.
• Proactive, positive approach and willingness to learn.
• Experience in HVAC/building products is an advantage but not essential.

About the Role

We are looking for a friendly, organised and customer-focused Internal Sales Coordinator to join our Sydney team.

This is a varied role combining customer service, internal sales and sales administration. You will be an important point of contact for our customers and distributors, helping them with product enquiries, quotations, orders and delivery coordination.

You will work closely with our sales, technical and operations teams to ensure customers receive responsive, professional service.

You don’t need to be an HVAC expert to succeed in this role. Experience reading basic mechanical schedules and drawings would be an advantage, but it’s not essential. We’ll provide product training and ongoing support to help you build your technical knowledge and confidence in the role.

What You’ll Be Doing

• Responding to customer and distributor enquiries by phone and email.
• Preparing quotations, processing sales orders and coordinating deliveries.
• Building positive relationships with customers and supporting their ongoing requirements.
• Following up quotations and sales enquiries to help convert opportunities into orders.
• Working with our technical, sales and warehouse teams to ensure customer requirements are met.
• Maintaining accurate customer information, pricing and order records.

We are looking for someone who enjoys helping customers, takes pride in their work and can comfortably manage a busy and varied workload.

Ideally, you will bring:

• Experience in internal sales, sales administration, customer service or a similar role.
• Strong communication skills and a friendly, professional phone manner.
• Excellent organisational skills and attention to detail.
• Confidence using Microsoft Office and learning business systems.
• A proactive, positive approach and a willingness to learn.
• Experience in HVAC, building products, electrical, plumbing, manufacturing or industrial supplies would be an advantage, but is not essential.
• Experience with Cin7 or other ERP systems would also be beneficial, although training will be provided.
• Most importantly, we value someone who is dependable, enjoys working as part of a team and takes genuine pride in providing excellent customer service.
