Job summary

Lead Group in Caringbah is seeking an experienced HVAC Service Coordinator/Administrator to join our busy service team. You will coordinate technicians, answer client enquiries and keep the service department organized.

This role offers flexible hours to suit school schedules, opportunities to develop your Simpro skills and a supportive office environment with long-standing colleagues.

Qualifications

• Previous administration, scheduling or service coordination experience.
• Experience within HVAC, electrical, plumbing or another trade/service-based business would be advantageous.
• Strong customer service and communication skills.
• Confidence coordinating field-based technicians.
• Strong organisation skills and the ability to manage changing priorities.
• Good computer and data-entry skills.
• Experience with Simpro or similar is highly regarded.

Responsibilities

• Answer incoming calls and respond to client enquiries.
• Book maintenance jobs and service calls.
• Schedule and coordinate service technicians.
• Liaise with customers and technicians via phone, email and text.
• Process service and maintenance reports, quotes and invoices.
• Send appointment reminders and follow up outstanding tasks.
• Maintain accurate records in Simpro.
• Source and order spare parts and disposable filters.
• Update Simpro catalogues and databases.
• Assist with OH&S administration and safety records.
• General administration and office support.
• Order stationery and assist with occasional post duties.
