Job description

Looking for a role where you can make your mark

If you're an experienced construction administrator who enjoys variety, responsibility and being involved across the whole business, this is an opportunity to step into a role where you can have a genuine impact.

At Traffic Worx Pty Ltd, you will work closely with the Managing Director, management team and field teams. You will own the day-to-day accounts, keep administration moving and help make sure our people have the information and support they need to deliver their work.

We provide traffic management services. We are looking for an experienced accounts and administration professional who understands construction or contracting and wants to become a trusted part of the business.

The role

  • Variety in your working day — accounts, operations, people and projects will all form part of your role.

  • Ownership of your work — organise your priorities, follow matters through and take pride in the results.

  • A direct connection to management — work with the Managing Director and understand the priorities behind the decisions.

  • Room to improve how things work — bring your ideas, simplify processes and help build better systems.

  • An opportunity to develop — broaden your involvement and take on more responsibility as the business grows.

  • A visible contribution — see how your work supports our office, our crews and our clients.

Your role in accounts and finance

  • Manage accounts payable and receivable, including supplier and subcontractor invoices.

  • Prepare fortnightly payment runs and administer payroll.

  • Reconcile bank accounts and credit cards, and maintain accurate records in MYOB.

  • Prepare client invoices and claims, checking timesheets, job dockets, records, agreed rates and supporting documentation.

  • Follow up overdue accounts and resolve invoicing queries with clients and operational teams.

  • Monitor upcoming payments and cash flow requirements, and provide financial administration and reporting.

Project Administration

  • Support Operations Managers and Site supervisors with daily administration.

  • Prepare, update and organise project documentation and job records.

  • Raise and track purchase orders and assist with procurement and supplier coordination.

  • Follow up subcontractors, suppliers and consultants to obtain required information.

  • Assist with subcontract agreements, variations and project correspondence.

  • Maintain document control and coordinate information between office staff and field teams.

  • Assist with project setup, handover and close‑out documentation.

WHS and compliance records on track

  • Maintain WHS documentation, registers and company and project compliance records.

  • Track staff and subcontractor licences, insurances, accreditations and other required documents.

  • Coordinate SWMS and associated project safety documentation.

  • Follow up outstanding compliance requirements and assist project teams with site documentation.

  • Monitor document expiry dates and ensure required records remain complete and current.

Business Administration

  • Coordinate general office administration and maintain company records, insurances and registrations.

  • Manage filing, document control and internal reporting.

  • Review and improve administrative systems and procedures.

  • Support the wider team, identify issues and coordinate practical solutions.

  • Take responsibility for additional tasks and business projects as they arise.

Executive Support

You will be a reliable point of support for the Managing Director, helping organise priorities, follow up commitments and make sure important actions are completed. This will include:

  • Coordinate meetings, appointments and key commitments.

  • Follow up agreed actions and outstanding matters across the business.

  • Prepare correspondence, documents and presentations, and gather information for meetings and decisions.

  • Liaise with clients, consultants, suppliers and team members.

  • Help priorities incoming requests and ensure important matters receive timely attention.

What you will bring

  • A practical understanding of project delivery and the coordination required between office and site teams.

  • Strong accounts payable and receivable experience, including client invoicing and debtor follow-up.

  • Confidence using MYOB and strong computer and business systems skills.

  • Experience working with staff, subcontractors, suppliers and operational teams.

  • Familiarity with project documentation, WHS records and subcontractor compliance.

  • Excellent organisation, accurate record keeping and close attention to detail.

  • Clear written and verbal communication and the ability to manage competing priorities.

  • Initiative, sound judgement and a willingness to take responsibility for outcomes.

Traffic management experience, particularly invoicing from timesheets, schedules of rates and job records, will be highly regarded.

Does this sound like you

You are the person people turn to when something needs sorting out. You notice what is missing, ask the right questions and keep following up until the job is finished. You enjoy being involved, knowing how the business works and making life easier for the people around you.

You might start the day resolving an invoicing query, then help an Operations Manager with project records, follow up an expiring accreditation and prepare information for the Managing Director. That variety suits you. You do not need to know everything on day one, but you bring solid accounts experience, practical judgement and the confidence to work things out.

Ready to take ownership of a broader role

If you have built your experience in construction accounts, administration, project support or office management and are ready to put more of your skills to use, we would like to hear from you. This is your opportunity to take ownership of an important role and help shape how Traffic Worx operates.
