Job summary

Rockstar is seeking an experienced Executive Assistant to support US-based healthcare practice owners in a fully remote role. You will manage calendars, emails, and tasks, using Claude AI to draft while exercising final review and decisions.

Training, weekly coaching, and a supportive EA community are provided to help you operate AI as a real business tool. You will handle scheduling, inbox triage, meeting prep, and reporting, while maintaining HIPAA compliance and professional brand voice

Qualifications

• Proven experience as an Executive Assistant or similar role supporting a business owner or leader.
• Hands-on experience using AI tools for real work.
• Strong project coordination and task management skills.
• Excellent time management and ability to prioritize deadlines.
• Strong presentation skills and ability to build clear slide decks.
• Excellent written English with business voice consistency.
• Ability to work independently with steady communication.

Responsibilities

• Own the owner's calendar, inbox, tasks, and daily follow-through.
• Draft outbound emails in the practice's brand voice and review before sending.
• Maintain a task tracker and coordinate projects across owners, staff, and vendors.
• Create meeting agendas and slide decks for the owner's meetings.
• Produce daily and weekly summaries and action-item tracking.
• Pull reports from CRM/EMR/spreadsheets and ensure accuracy.
