Role - Reception/ Travel desk

Currently, House of Shipping is recruiting for a Reception/ Travel desk Professional to join the team.

Job purpose

The Reception / Travel Desk will be a dual position, efficiently handling the front desk for a warm welcoming experience and coordinating seamless business travel arrangements (visa, tickets, hotel, etc.) for employees.

Roles and Responsibilities

Reception Desk

• Reception desk and visitor management (organized front desk, entry permit, guest handling, etc.)
• Professional call handling (call screening, promptness, directing enquiry calls, etc.)
• Courier/mail management and admin support like office supplies, telephone, business cards, etc.
• Adhoc HR tasks for support and assistance
• Proactively maintain a safe and secure working environment

Travel Desk

• Timely support on employee business travel arrangements - flights, hotels, etc.
• Ensure proper approvals as per company policy are in place before the release of travel documents
• Coordination with travel agents, hotels, etc., for cost-effective travel quotes
• Consolidating regular travel desk reporting for management review

Education/ Experience and Competencies

• High school diploma or equivalent
• Familiarity with travel desk management
• MS Office proficiency mandatory
• Ability to prioritize and handle time-sensitive duties within deadlines
• Proactive approach to issue handling
• Multitasking, patience, and a pleasant approach to work
• Attention to detail
• Time management and teamwork skills
• Pleasing and positive attitude
• Good communication skills
