Role Context
The Talent Acquisition Intern – TA Operations will support Talabat's Talent team by keeping recruitment coordination, interview logistics, candidate records, tracking sheets, and system updates accurate and well managed.
Unlike a sourcing‑heavy recruitment role, this position focuses on operational excellence, scheduling discipline, data integrity, and administrative support. It helps recruiters, hiring managers, interviewers, and leadership teams move through the hiring process with fewer delays, clearer visibility, and better coordination.
Key Responsibilities
- Coordinate interview logistics across multiple stakeholders, functional teams, regional time zones, and leadership calendars.
- Plan and organize interview schedules with candidates, hiring managers, recruiters, and interview panels.
- Manage scheduling requirements for technical, business, operational, and leadership interviews, including Talabat Tech Leadership teams where required.
- Maintain recruitment trackers, master spreadsheets, reports, and hiring data logs using Google Sheets and Excel.
- Keep recruitment records clean, accurate, updated, and easy for the Talent team to review.
- Use filters, basic formulas, structured layouts, and organized data entry methods to improve tracker usability.
- Update candidate profiles, interview stages, progression statuses, notes, and administrative details in the Applicant Tracking System.
- Support ATS hygiene by checking data accuracy, reducing missing information, and keeping candidate workflows current.
- Assist with templates, calendars, coordination workflows, and simple process improvements that make recruitment operations smoother.
- Help recruiters and talent partners with administrative tasks related to scheduling, follow‑ups, reporting, and candidate coordination.
- Support ad‑hoc Talent Acquisition projects that require clean data, structured documentation, or operational follow‑through.
- Maintain confidentiality when handling candidate information, hiring updates, interview feedback, and internal recruitment data.
- Track open actions, pending confirmations, interview changes, and scheduling conflicts with strong attention to detail.
- Communicate clearly with internal stakeholders to confirm availability, resolve scheduling gaps, and keep hiring activity moving.
- Break down operational tasks into manageable steps and complete them within competing deadlines.
- Contribute to a more organized, accurate, and reliable Talent Acquisition function through consistent administrative support.
Ideal Profile
- Recent graduate with a Bachelor's degree in Human Resources, Business Administration, or a related field.
- Strong interest in talent acquisition operations, HR coordination, recruitment administration, and people team processes.
- Experience creating, maintaining, formatting, and updating data logs, trackers, or reports in Google Sheets or Excel.
- Comfortable using basic spreadsheet functions, filters, clean formatting, organized data entry, and structured reporting layouts.
- Exposure to administrative support, scheduling, logistics coordination, calendar management, or workflow tracking is an advantage.
- Excellent attention to detail when updating records, coordinating interviews, managing trackers, and handling candidate information.
- Able to prioritize tasks, manage competing deadlines, and stay organized in a fast‑moving recruitment environment.
- Clear written and verbal communication skills for working with recruiters, hiring teams, candidates, and internal stakeholders.
- Curious, humble, open‑minded, and willing to learn how recruitment operations work in a large regional technology business.
- Comfortable following processes while also identifying small improvements that make coordination easier.
- Able to maintain confidentiality, professionalism, and accuracy when handling sensitive hiring information.
- Strong ownership mindset with a reliable approach to follow‑ups, scheduling updates, and administrative completion.
