Overview
People Operations Specialist will manage critical employee lifecycle processes across talabat's UAE operations. The role covers pre-boarding, onboarding, government documentation, payroll inputs, benefits enrollment, employee records, off‑boarding, final settlements, compliance reporting, audits, and HR process improvement.
Key Responsibilities
- Support the complete employee onboarding process from offer acceptance through successful joining.
- Collect, verify, organize, and file passports, visas, educational certificates, bank details, and other required documents.
- Conduct pre‑boarding calls to explain joining requirements, confirm documentation, and answer initial employee questions.
- Coordinate with IT, Payroll, Procurement, and workplace teams for laptops, system access, identification cards, joining kits, and other resources.
- Ensure new employees are enrolled in medical insurance, payroll, allowances, and applicable benefit programmes.
- Maintain accurate onboarding trackers, HR dashboards, and HRIS records.
- Partner with PROs to process UAE labour contracts, work permits, Emirates IDs, medical examinations, and immigration requirements.
- Monitor MOHRE, ICP, and related government transactions to ensure timely completion and statutory compliance.
- Track onboarding progress and resolve delays before they affect joining dates or employee experience.
- Execute structured off‑boarding for resignations, terminations, and other employee exits.
- Confirm notice period requirements and coordinate the return of laptops, mobile phones, SIM cards, identification cards, and company property.
- Prepare termination documents, clearance records, and exit‑related correspondence.
- Coordinate with Payroll to process final settlements accurately and on time.
- Validate end‑of‑service benefits, leave encashment, reimbursements, deductions, and other exit payments.
- Ensure departing employees are removed from MOHRE, immigration, insurance, HR systems, and internal databases.
- Serve as a first point of contact for employee and manager HR operations enquiries.
- Provide clear guidance based on company policies, UAE labour law, and established procedures.
- Manage company SIM card allocation, activation, reconciliation, and record keeping.
- Administer employee medical insurance, allowances, wellness programmes, and other benefits.
- Coordinate benefit enrollment, renewals, amendments, and removals.
- Provide Payroll with accurate information regarding new joiners, leavers, bank accounts, compensation changes, and monthly employee updates.
- Maintain complete, confidential, and audit‑ready physical and digital employee files.
- Prepare HR operations reports covering onboarding, offboarding, compliance, volumes, turnaround times, and service performance.
- Review repetitive HR tasks and recommend simpler, faster, and more reliable workflows.
- Support internal audits, external inspections, and government reviews.
- Prepare required employee records, transaction evidence, and compliance documentation.
- Contribute to HR system enhancements, process automation, and document digitization.
- Identify recurring errors, delays, and control weaknesses and implement corrective measures.
- Maintain confidentiality and protect personal employee information at all times.
Ideal Profile
- Bachelor's degree in Human Resources, Business Administration, Management, or a related discipline.
- Minimum 3‑5 years of People Operations or HR operations experience within the UAE Mainland.
- Strong working knowledge of UAE labour law and statutory employment requirements.
- Practical experience with MOHRE, ICP, immigration, Emirates ID, medical, and work permit procedures.
- Proven experience managing high volumes of employee onboarding and offboarding transactions.
- Familiarity with end‑of‑service benefits, leave encashment, final settlements, and payroll coordination.
- Experience administering medical insurance, employee allowances, and workplace benefits.
- Strong proficiency in HR information systems, Microsoft Office, and Google Workspace.
- Ability to maintain accurate employee data, trackers, reports, and audit documentation.
- High attention to detail and a consistent commitment to accuracy.
- Strong problem‑solving ability with a process‑improvement mindset.
- Capacity to work under pressure and meet strict operational deadlines.
- Clear communication skills when supporting employees, managers, vendors, and government representatives.
