Job summary

AW Rostamani Group in Dubai seeks a Freight Documentation Coordinator to manage end-to-end customs clearance and related documentation for imports and exports.

You will liaise with customs, ports, chambers, consulates, and customers, ensuring timely delivery orders and regulatory compliance while guiding documentation staff.

Bachelor degree and at least 3 years in freight forwarding and docs, ability to handle pressure and adapt to change; English reading required.

Qualifications

• Bachelor degree in a relevant field.
• Minimum 3 years experience in freight forwarding and documentation.
• Ability to work under stress and adapt to change.
• Self-starter and able to manage pressures and quick decisions.

Responsibilities

• Arrange collection of delivery orders by preparing cheque requests and all required documentation for assigned clients.
• Manage communications and documentation for non-resident clients.
• Handle NVOCC, global import, and personal effects shipments in accordance with applicable procedures.
• Liaise with Customs, Chambers of Commerce, freight forwarders, consulates, and other relevant authorities to ensure smooth processing.
• Coordinate air and sea export shipments as per customer requirements and provide regular shipment status updates.
• Ensure timely submission and follow-up of all customs documentation to meet regulatory deadlines.
• Oversee documentation activities in the absence of the Supervisor or Manager, ensuring continuity of operations.
• Coordinate with customers to ensure smooth and efficient execution of clearance and documentation processes.
• Supervise and support documentation assistants and clerks, providing guidance as required.
• Provide accurate and timely documentation, customs, port, and rate-related information to the Operations Manager upon request.
• Stay updated on changes in customs, shipping, port, chamber, and consulate regulations, tariffs, and procedures.
• Provide complete and accurate documentation to customers in line with their requirements.
