A professional services firm in Dubai is looking for a Personal Assistant to provide comprehensive administrative support. The successful candidate will handle scheduling, communication management, document preparation, and assist in project coordination. Fluency in English is required, and familiarity with the local business environment is essential. This full-time position offers flexible hours and may require some international travel.
Handle day-to-day administrative tasks such as scheduling meetings, managing calendars, making travel arrangements, and preparing expense reports.
Serve as the primary point of contact between the executive and internal/external clients. This includes handling phone calls, emails, and correspondence in both French and English.
Draft, edit, and format documents including reports, presentations, and correspondence. Ensure that all documents are accurate and professionally presented.
Assist with project management tasks, including planning, tracking progress, and coordinating with team members to ensure timely completion.
Utilize advanced knowledge of IT and new technologies to improve office efficiency. Troubleshoot minor technology issues and provide assistance to the executive in using various software and online platforms.
Organize and coordinate events, meetings, and conferences, including logistics, guest lists, venue selection, and catering arrangements.
Manage a range of personal tasks for the executive as required. This may include running errands, booking personal appointments, or managing household staff.
Fluent English. Additional languages are a plus.
Proven experience as a Personal Assistant or similar role in Dubai. Familiarity with the local business environment is essential.
A bachelor's degree is preferred. Relevant certifications in administration, IT, or project management will be considered an advantage.
Strong computer skills and proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Ability to adapt to new technologies quickly.
Excellent communication skills, both written and verbal. Ability to interact professionally with a diverse group of clients, staff, and external contacts.
Exceptional organizational and time-management skills. Ability to prioritize tasks and manage multiple projects simultaneously.
High level of discretion and confidentiality. Ability to handle sensitive information with integrity.
Full-time position based in Dubai.
Some international travels may be required.
Flexible working hours, including availability outside of standard office hours as needed.
