Al-Futtaim Motors in Dubai is seeking a part-time Aftersales Receptionist to manage front-desk operations at the service center, greet customers, and direct them to the appropriate advisors.

You will handle calls, WhatsApp inquiries and emails, maintain an organized reception, and support appointment scheduling and documentation. A high school diploma and 1–2 years in a customer-facing role are preferred.

Qualificações

• High school diploma or equivalent; customer service certification is a plus.
• 1–2 years in a customer-facing role, preferably automotive.
• Proficient with appointment management systems and CRM software.
• Strong verbal and written communication focused on customer service.

Responsabilidades

• Greet customers professionally upon arrival at the service center.
• Direct customers to the appropriate Service Advisor or department.
• Handle incoming telephone calls, WhatsApp inquiries, and email communication.
• Maintain a welcoming and organized reception area at all times.
• Manage service appointments in the system for both walk-in and scheduled visits.
• Confirm daily bookings with customers and update them on changes or waiting times.
• Coordinate with Service Advisors to prevent overbooking or delays.
• Ensure accurate appointment segregation and upload details in the designated system.
• Provide customers with service information, estimated waiting times, and documentation.
• Assist with vehicle status updates when Advisors are unavailable.
• Notify customers when vehicles are ready for delivery by phone.
• Prepare and manage service-related documents and appointment sheets.
• Assist with invoice printing and provide customer copies as required.
• Maintain logs for customer visits, calls, and vehicle flow.
• Support Advisors with queue management and communication of concerns.
• Ensure smooth workflow between reception, workshop, and parts department.
• Monitor vehicle delivery processes accurately.
• Ensure high levels of customer service and professionalism.
• Address basic concerns and escalate when needed.
• Engage in CSV & NPS feedback as part of quality measures.
• Follow brand and dealership policies for customer handling and documentation.
• Maintain confidentiality and accuracy of customer data.
• Adhere to attendance and punctuality requirements.
• Assist in organizing the reception area for audits or campaigns.
• Support during busy hours to reduce wait times.
• Help with promotional materials, reminders, and notifications.
