Job summary

Confidential Company in Dubai seeks a Document Controller to manage MEP project documents, ensuring accurate logging, version control, and accessible storage in our DMS such as Aconex or Procore. You will distribute drawings, RFIs, and reports while coordinating with PMs, engineers, and clients to maintain timely submissions.

The role requires strong organizational skills, meticulous attention to detail, and knowledge of Dubai construction practices.

Responsibilities

• Create, organize, and maintain a centralized document control system for all MEP project documents, including drawings, specifications, contracts, and reports.
• Ensure all documents are accurately logged, version-controlled, and stored in the company’s document management software (e.g., Aconex, Procore, or similar).
• Track document revisions and ensure the latest versions are distributed to relevant stakeholders.
• Liaise with project managers, engineers, subcontractors, and clients to ensure timely submission and approval of documents.
• Distribute technical drawings, RFIs (Requests for Information), and other project documents to relevant teams.
• Facilitate communication between internal teams and external stakeholders regarding document status and updates.
• Verify that all documents comply with project specifications, MEP standards, and Dubai regulatory requirements (e.g., Dubai Municipality, DEWA, or RERA guidelines).
• Conduct regular audits of document records to ensure accuracy and completeness.
• Ensure adherence to company quality management systems and ISO standards (e.g., ISO 9001).
• Prepare and maintain document registers, transmittal logs, and status reports.
• Monitor deadlines for document submissions and approvals to ensure project timelines are met.
• Generate reports on document control activities for project managers and senior management.
• Archive completed project documents in accordance with company policies and UAE regulations.
• Ensure efficient retrieval of documents when required for audits, inspections, or project closeouts.
