A leading medical technology firm in the United Arab Emirates is seeking an experienced administrative support professional to provide daily confidential assistance to Senior Business Unit Directors. Responsibilities include managing diaries, coordinating travel, and preparing detailed reports and presentations. The ideal candidate should possess strong organizational and communication skills with advanced proficiency in Microsoft Office. This role offers the flexibility of hybrid or onsite work arrangements.
Work Flexibility: Hybrid or Onsite
Provide daily confidential support to Senior Business Unit Directors.
Manage Diary, e-mails flagging with urgent action and bookings of Senior Business Unit Directors as well as travel arrangements.
Collaborate with different stakeholders to collect the input for the newsletter and define the content.
Manage other e-mail channels like Marketo for communication campaigns.
Support the Senior Business Unit Directors in setting up the town halls or events, either live or virtually and drive the communication.
Attend and minute important meetings, type up plans and communicate with direct reports and prepare advanced PowerPoint presentations, coordinate key events.
Updating budget lists and management of compliance paperwork, filing and documenting.
Complete monthly expense report for Senior Business Unit Directors, also ensuring that financial procedures are followed in relation to purchase orders, etc.
Coordinate on the office management tasks for Dubai office
Educational degree in a relevant field
At least 3 years of experience in a similar position
Advanced skills in Microsoft Office, especially PowerPoint
Touch typing and audio typing to 80 words per minute
Excellent communication skills
Strong organizational skills
Time Management skills
Ability to work independently
Travel Percentage: 10%
