Job summary

A leading recruitment agency in Abu Dhabi is seeking an Assistant Procurement professional to manage key procurement correspondence and facilitate communication between business departments and bidders. Ideal candidates should have a minimum of 4 years of experience in contracts administration, preferably within the oil and gas sector. This role requires strong attention to detail and excellent communication skills to coordinate procurement activities effectively.

Qualifications

Responsibilities

  • Prepare yearly correspondence for planned procurement requirements.
  • Review bidder queries and prepare correspondence for stakeholders.
  • Facilitate site visits and maintain attendee records.
  • Forward bid exceptions to relevant teams with set response times.
  • Assist with technical clarifications and bid replies.

Key Responsibilities
  • Prepare on a yearly basis the standard correspondence memorandum requesting Business Departments (End Users) to submit their draft Planned Procurement requirements for the following year.
  • Prepare for review the standard correspondence memorandum forwarding Bidder queries to End User/ Legal I Finance, together with prepares standard letter to Bidder confirming receipt of Bid queries.
  • Prepare for review site visit standard memorandum to End User, including associated tabulation of site visit attendee details (Attendees from both Bidders and Procurement Department personnel)
  • Prepare for review the standard correspondence memorandum forwarding Bidder exceptions/ deviations to the Bid, to Legal, Finance or other applicable Business Unit, requesting a response within a set timeframe.
  • Prepare for review the standard correspondence memorandum forwarding Bidder replies to technical clarifications/ queries to Technical Evaluation Team, plus any further Bidder replies in respect of exceptions and deviations to Legal, Finance or applicable Business Unit.
