Job summary

ISTA Personnel Solutions, a dynamic BPO, seeks a Client Intake Coordinator to be the first point of contact for prospective US-based clients, managing inbound leads and guiding families through intake and onboarding. This fully remote role requires a strong phone presence, empathy, and excellent follow-up.

Responsibilities include handling calls, emails, and initial intake calls with families, capturing data accurately, and routing inquiries according to internal procedures.

Qualifications

• Client-facing inbound call experience with US-based clients.
• Experience with CRM or workflow systems in a live call environment.
• Strong computer literacy; adapts fast to unfamiliar software.
• Proficient in MS Word and Excel.
• Excellent spoken and written English.
• Organised with data-capturing accuracy.
• Empathetic, patient, and able to handle distressed callers.
• Reliable attendance and strict schedule adherence.

Responsibilities

• Provide coverage for Intake Coordinators during absences.
• Act as second-tier call support on the intake line.
• Provide second-tier call support for the wider business.
• Conduct initial intake calls with parents and families.
• Capture intake information accurately in the client system.
• Manage ongoing email correspondence with clients with fast responses.
• Apply sound judgement on when to take, hold or redirect a call.
• Multitask across live calls and system administration during coverage periods.
