Job summary

Bilnor Staffing Solutions seeks a proactive receptionist to manage the front desk and provide professional administrative support. You will greet clients, schedule meetings, handle calls, and assist with general office duties to ensure smooth daily operations.

Responsibilities include maintaining a tidy reception, preparing refreshments, managing mail and couriers, and supporting management with administrative tasks. A Matric and MS Office skills are essential.

Qualifications

  • Grade 12 (Matric) is required.
  • Diploma or certificate in Office Administration will be advantageous.
  • Minimum 2–3 years' experience as a Receptionist or Administrative Assistant.
  • Excellent verbal and written communication skills.
  • Computer literate (Microsoft Office Suite).
  • Professional appearance and telephone etiquette.
  • Valid driver's licence will be advantageous.

Responsibilities

  • Welcome clients, suppliers and visitors in a friendly and professional manner.
  • Answer, screen and direct incoming telephone calls.
  • Prepare tea, coffee and refreshments for visitors and meetings.
  • Maintain a clean, organised and professional reception and boardroom area.
  • Manage meeting room bookings and prepare meeting facilities.
  • Receive, sort and distribute incoming mail and courier deliveries.
  • Arrange outgoing courier collections and deliveries.
  • Maintain visitor registers and ensure visitors comply with company procedures.
  • Perform general filing, scanning, printing and document administration.
  • Assist with document preparation, formatting and photocopying.
  • Maintain office stationery, kitchen supplies and general office consumables.
  • Assist management with general administrative tasks as required.
  • Maintain confidentiality of company information at all times.
  • Ensure the reception area reflects the company's professional image at all times.

Job description

As the first point of contact for visitors, clients and suppliers, the Receptionist plays an important role in creating a professional and welcoming environment while providing efficient administrative support to ensure the smooth day‑to‑day operation of the office.

JOB PURPOSE

You are responsible for managing the company's reception area and providing professional front‑office and administrative support to the business. You will create a positive first impression for clients, suppliers and visitors by delivering friendly, efficient and professional customer service. Your responsibilities include answering and directing telephone calls, welcoming and assisting visitors, preparing refreshments for guests, managing meeting rooms, handling incoming and outgoing correspondence, and providing general administrative support to the business. You will assist with general office administration, filing, courier coordination, stationery and office consumables management, as well as other day‑to‑day administrative duties that contribute to the efficient operation of the business.

The Receptionist is expected to maintain the highest standards of professionalism, confidentiality, organisation and customer service while supporting the company's commitment to operational excellence.
