Job summary

Placements24 is seeking an experienced Event Coordinator in Tembisa, Gauteng to plan and execute large-scale banquets and corporate events. You will liaise with clients, develop timelines, coordinate with catering, AV, security and facilities, and manage budgets to ensure profitability.

You’ll source vendors, negotiate contracts, and lead on-site operations, ensuring safety, regulatory compliance, and exceptional client service throughout each event.

Qualifications

• Proven experience as an Event Coordinator or similar role.
• Excellent organizational and time management skills.
• Strong communication, negotiation, and interpersonal skills.
• Proficiency in event management software and Microsoft Office Suite.
• Ability to remain calm and professional under pressure.
• A creative flair and a keen eye for detail.
• Flexibility to work evenings, weekends, and public holidays as required.
• Understanding of catering, AV, and venue logistics.
• Degree or diploma in Hospitality Management or Event Management is advantageous.
• Local knowledge of Tembisa and surrounding areas is beneficial for vendor management.

Responsibilities

• Liaise directly with clients to understand event requirements, vision, and budget.
• Develop comprehensive event plans, including timelines, logistics, and staffing schedules.
• Coordinate with internal departments to ensure smooth execution.
• Source and manage external vendors, negotiating contracts and ensuring service delivery.
• Oversee event setup, including décor, seating arrangements, and audiovisual equipment.
• Manage event budgets, track expenses, and ensure profitability.
• Be present on-site during events to manage operations and troubleshoot issues.
• Gather client feedback post-event to identify areas for improvement.
• Maintain knowledge of industry trends and best practices in event management.
• Ensure all events comply with health, safety, and licensing regulations.
