Job description

To supervise and coordinate all dispatch operations to ensure customer orders are accurately picked, loaded, dispatched, and delivered in a timely manner.

DUTIES & RESPONSIBILITIES:

Key Responsibilities:

• Plan, coordinate, and supervise all daily dispatch activities.
• Ensure customer orders are picked, checked, packed, and dispatched accurately and on time.
• Prioritize urgent deliveries to meet customer requirements.
• Monitor workflow to ensure operational efficiency and productivity.
• Ensure all dispatch documentation is completed accurately before goods leave the premises.
• Supervise the loading of units.
• Ensure vehicles are loaded safely and within legal load limits.
• Coordinate vehicle scheduling with drivers and transport personnel.
• Ensure deliveries are dispatched according to planned routes and schedules.
• Liaise with transport providers regarding delivery requirements and delays.
• Ensure accurate stock movement between factory and dispatch.
• Investigate stock discrepancies and implement corrective actions.
• Ensure proper storage and handling of finished goods.
• Assist with stock counts and inventory audits
• Ensure units dispatched meet company quality standards.
• Verify correct products, quantities, and documentation before dispatch.
• Minimize damages, shortages, and customer complaints.
• Investigate dispatch errors and implement corrective measures.
• Enforce compliance with the Occupational Health and Safety Act and company safety procedures
• Ensure employees wear the required Personal Protective Equipment (PPE).
• Conduct toolbox talks and routine safety inspections
• Report and investigate incidents, accidents, and near misses
• Maintain high housekeeping standards within the dispatch area
• Supervise and coordinate dispatch staff and forklift operators
• Allocate daily work and monitor performance.
• Manage attendance, timekeeping, leave, and overtime.
• Provide coaching, training, and performance feedback.
• Address misconduct and poor performance in line with company procedures.
• Ensure forklifts and loading equipment are inspected and operated safely.
• Report equipment faults and coordinate repairs.
• Monitor the condition of loading bays and dispatch equipment.
• Liaise with internal departments regarding customer order and delivery schedules.
• Resolve delivery queries and customer complaints relating to dispatch.
• Maintain positive working relationships with customers, drivers, and transport providers.
• Prepare daily dispatch reports.
• Monitor delivery performance and productivity
• Report on stock discrepancies, damages, incidents, and operational issues.
• Identify opportunities to improve dispatch efficiency and reduce costs.
• Implement process improvements to improve service delivery.
• Participating in operational improvement initiatives

MINIMUM QUALIFICATION:

• Matric
• Supply Chain/Operations/logistics or related diploma

MINIMUM EXPERIENCE:

• 5 years in similar position or dispatch operations
• 3 years in a supervisory or foreman role
• Experience in logistics or manufacturing environment
• Forklift operations (Advantageous)
