Job summary

The Police Athletic League, Inc. (PAL) is seeking an Administrative Assistant to support out-of-school time programming and deliver excellent customer service to families and youth in New York City.

This full-time role reports to the Deputy Director of Youth Employment and requires strong communication and organizational skills. Responsibilities include enrollment management, data entry, file maintenance, and coordination with school partners.

Qualifications

  • A minimum of sixty credits towards a degree from an accredited college or university in administration or human resources.
  • Open to learning and growing with mental health, SEL, and inclusion skills integrated into programming.
  • Microsoft Office skills are required.
  • A minimum of 5 years of paid work experience in a non-profit youth or social service agency in an administrative or managerial capacity.
  • Bi-lingual in Spanish, French, or Chinese preferred.
  • Able to travel to any PAL location in the 5 Boroughs for Professional Development days.

Responsibilities

  • Foster social and emotional competencies and well-being in a safe, inclusive environment.
  • Plan and implement an enrollment process to meet PAL's target enrollment deadlines.
  • Create and maintain participant files with medical needs, IEPs, support plans and logs.
  • Enter attendance into PAL databases accurately and on time.
  • Answer questions from parents and staff; coordinate with leadership for timely data communication.
  • Ensure office procedures align with PAL policies, calendars, funding and regulations.
  • Respond to time-sensitive mental health needs and provide referrals as needed.
  • Collect program data and provide data-driven recommendations.
  • Lead the compliance process for hires, manage office supplies and equipment.
  • Hold a fire emergency certificate and conduct monthly drills with leadership.
