Job summary

BravoTECH seeks a Workplace Experience Coordinator for our East Setauket, NY office. This onsite role supports employees, visitors, and vendors, handling customer service, purchasing, and day-to-day facilities tasks during a 5-month assignment with potential extension.

The ideal candidate will be organized, professional, and eager to learn, with strong communication skills and experience in office administration, vendor coordination, and MS Office. A high school diploma or GED is required.

Responsibilities

  • Serve as primary contact for employees, visitors, and guests.
  • Provide professional customer service in person, by phone, and email.
  • Manage and track purchase orders and workplace supplies.
  • Coordinate with vendors for workplace services and deliveries.
  • Assist with work orders related to maintenance and facility services.
  • Support inventory, mail, onboarding, and office needs.
  • Coordinate meetings, catering, and events.
  • Handle visitor and parking passes following security procedures.
  • Respond to requests and resolve issues professionally.
  • Maintain documentation and provide admin support for operations.

Workplace Experience CoordinatorLocation: East Setauket, NY – OnsiteSchedule: Monday–Friday, 8:00 AM–5:00 PMDuration: 5 months, with potential extensionPotential Conversion: Possible full-time conversion based on business needs, headcount, and budgetAbout the RoleWe are seeking a Workplace Experience Coordinator to provide a professional, welcoming, and high-quality experience for employees, visitors, and guests. This is a client-facing role that combines customer service, workplace administration, vendor coordination, purchase order management, and work order support.The ideal candidate is highly professional, organized, adaptable, and eager to learn.Key ResponsibilitiesServe as a primary point of contact for employees, visitors, and guests.Provide professional and friendly customer service in person, by phone, and through email.Manage and track purchase orders (POs) and workplace supplies.Coordinate with vendors and suppliers for workplace services and deliveries.Assist with work orders related to maintenance, janitorial, and facility services.Support workplace inventory, office supplies, mail, and onboarding activities.Coordinate meetings, catering, events, and workplace amenities.Handle visitor and parking passes while following facility security procedures.Respond to customer requests, questions, and complaints and help resolve issues professionally.Maintain documentation and provide administrative support for workplace operations.Assist with special projects and other day-to-day workplace needs.Required QualificationsHigh school diploma or GED.0–2 years of job-related experience in customer service, administration, facilities, hospitality, or a similar field.Strong verbal and written communication skills.Excellent customer service and interpersonal skills.Strong organizational and time-management abilities.Professional and adaptable approach with the ability to handle multiple tasks.Willingness and ability to learn new processes and responsibilities.Working knowledge of Microsoft Office, including Word, Excel, and Outlook.Preferred QualificationsExperience with purchase order (PO) management.Experience with CMMS or work order management systems.Administrative or workplace/facilities experience.Experience coordinating vendors, suppliers, meetings, or events.Experience in a client-facing or hospitality environment.Why Join This Opportunity?This role offers hands-on experience in workplace operations, facilities support, vendor coordination, and customer service within a professional corporate environment.
