Job Summary
This is a highly visible Workplace Experience Coordinator role supporting a large office with 100–140 employees onsite daily. The position provides maternity leave coverage with no anticipated extension, and the incoming hire will have the opportunity to train directly with the departing employee prior to her leave and will continue receiving support from her team members after she departs. This individual will serve as the sole Workplace Experience Coordinator in the office, functioning as a team lead/coordinator providing guidance and oversight to the reception, janitorial, and food service teams, while leveraging a strong support network of both local and national team members. The role requires an outgoing, warm, and approachable personality with a strong customer service mindset, as employees regularly seek out this person for assistance, information, and support.

Things You'll Do
- Ensure a best in class end-to-end workplace experience for all employees and external guests across your designated office site; driving a sense of experience for each employee and visitor to the office.
- Oversee Workplace Service operations including; mailroom, janitorial, food & beverage, copy/print business supply hub, fitness centers, storage, employee events/programs, and other amenities.
- Manage in-office food services program; ensuring healthy variety in a cost effective way.
- Manage the activities of the on-site contractors, providing guidance and support, and ensuring all contracted services are being provided.
- Develop, plan, and execute employee events in the office based on employee feedback and interests.
- Coordinate logistics for internal events, including catering, setups, and communications.
- Monitor and evaluate the success of workplace events, making recommendations for future improvements.
- Manage Operational Expenses for assigned cost centers; efficient use of budget, tracking and reporting expenses, and vendor accountability. Reporting out on a monthly and quarterly basis.
- Partner with Real Estate, Facilities, Security, and Health and Safety to ensure compliance and best practices within the workplace.
- Partner with the Occupancy Planner on any space planning needs for the office, including team seating changes, ensuring layout, workflow, storage and aesthetics of spaces align with intended purpose, promoting efficiency and productivity.
- Partner with the facility management team to ensure systems are in working order and provide an ideal atmosphere for employee and external guests.
- Stakeholder management through strong working relationships, partnership, and effective communication.
- Partner with cross-functional partners to create an inclusive and collaborative work environment.
Required Skills
- Tech-savvy and quick to learn new systems and applications.
- Proficient in Google Workspace, Excel, and other online productivity tools.
- Strong organizational and administrative skills with the ability to manage multiple priorities effectively.
- Strong customer service skills that involve solving more complex issues, actively listening to employee feedback and implementing suggestions for improvement.
- Experience in organizing events and managing small projects efficiently.
- Experience working with cross-functional teams.
- Ability to collect and analyze feedback to improve workplace services.
- A proven ability to be a self-starter capable of driving results without significant supervision.
- Exceptional organizational skills, ability to multi-task and successfully coordinate multiple projects simultaneously; ability to prioritize activities effectively, while ensuring a high level of accuracy and attention to detail.
- Strong technical aptitude with the ability to quickly learn and navigate new online systems and software, including Google Workspace and Microsoft Excel.
- Highly organized with excellent attention to detail and time management skills.
- Requirement to be on-site during normal business hours, Monday–Friday.
Preferred Skills
- Office management or administrative experience is a plus.
- Familiarity with facility management principles and operations is a plus.
Required Experience
- 2 years of workplace programs, facilities, employee experience, events, and/or site management experience.
Work Environment / Physical Requirements
- Ability to lift and move items weighing 20–30 lbs as needed (infrequent requirement).
- Large office environment with 100–140 employees onsite daily.
- Highly visible role with significant interaction across the office.
