Green Key Resources is seeking a Workplace Coordinator for a busy professional office in Arlington, TX. This fully onsite role supports senior leadership, project teams, vendors, and visitors, ensuring the office runs smoothly and professionally.

You will manage calendars, coordinate travel, handle invoices and expenses, and maintain records while delivering exceptional customer service in a fast-paced environment.

Responsibilities

  • Serve as primary point of contact for the office, greet visitors and answer calls.
  • Provide administrative, operational, and logistical support to leadership and project teams.
  • Coordinate calendars, meetings, and internal events.
  • Arrange business travel and prepare itineraries for leadership.
  • Assist with employee events and office activities.
  • Monitor inventory and place orders for supplies as needed.
  • Maintain organized records and documentation.
  • Provide general administrative support to leaders and project team members.

Schedule: Monday–Friday, 8:00 AM–5:00 PM

Work Arrangement: Fully Onsite

Type: Contract with potential Temp-to-Hire

Start: Immediate / Urgent Need

We are currently recruiting for a Workplace Coordinator to support a busy professional office in Arlington, TX. This is an excellent opportunity for an organized, proactive administrative professional who enjoys being the go-to person in an office environment and takes pride in providing exceptional customer service.

The Workplace Coordinator will support senior leadership, project teams, employees, vendors, and visitors while helping ensure the office operates smoothly day to day.

This is a fast-paced environment where priorities can change quickly. The ideal candidate is someone who can think on their feet, solve problems independently, stay organized, and confidently manage multiple responsibilities at once.

What You'll Do
  • Serve as the primary point of contact for the office, including greeting visitors and answering incoming calls.
  • Provide administrative, operational, and logistical support to leadership and project teams.
  • Coordinate calendars, meetings, conference rooms, and internal events.
  • Arrange business travel and prepare detailed itineraries for leadership.
  • Assist with employee events, office gatherings, meetings, orientations, and other workplace activities.
  • Monitor office and kitchen inventory and place orders for supplies as needed.
  • Maintain an organized, professional, and welcoming office environment.
  • Coordinate with vendors for office services, maintenance, deliveries, catering, cleaning, equipment, and other workplace needs.
  • Assist with invoices, expense reports, and other administrative financial tasks.
  • Support office access, parking, building coordination, and general security procedures.
  • Communicate office updates and operational information to internal teams and external contacts.
  • Maintain organized records, files, and documentation.
  • Assist with projects and special assignments as needed.
  • Provide general administrative support to multiple leaders and project team members.
What We're Looking For
  • Previous experience in office coordination, administrative support, office management, executive support, or a similar role.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent customer service skills and a professional, approachable demeanor.
  • Ability to work effectively with senior leadership and a variety of personalities.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills and the ability to think on your feet.
  • Proficiency with Microsoft Office applications is required.
  • Google Workspace experience is a plus.
  • Comfortable learning and navigating multiple software platforms and systems.
  • Ability to maintain confidentiality when handling sensitive information.

This is a fully onsite position, Monday through Friday, generally 8:00 AM–5:00 PM.

Some flexibility may occasionally be required based on business needs.
