Job summary

Hoffman Auto Group is seeking an organized administrative professional to support the daily Body Shop operations in Connecticut. You will handle calls, scheduling, filing, and office supplies while assisting Managers and Appraisers with various duties.

You will learn and document processes in CCC One and Dealertrack, update DRP logs, and coordinate with customers and insurance companies throughout the repair process. Strong communication and accuracy are essential.

Responsibilities

• Answer calls, greet customers, schedule appointments, and maintain body shop office supplies.
• Process repair orders and purchase orders; obtain insurance and other pertinent information.
• Enter estimates into Dealertrack and document daily activity in CCC One and DRP logs.
• Coordinate with customers and insurance companies; communicate delays and updates.
• Reconcile accounts receivable, deposits, and sublet schedules; accept payments at pickup.

Role PurposeResponsible for the daily support of the Body Shop, including maintaining paperwork in an orderly filing system, completing billing, and assisting Manager and Appraiser(s) with duties.LeadershipThis position does not lead othersCore AccountabilitiesPerform administrative duties including but not limited to telephone calls, greeting customers setting up appointments, take messages as necessary, and maintain body shop office supply inventory.Schedule appointments and transportation for customers with rental agency.Write repair orders and P.O’s as needed; and obtain insurance and other pertinent informationLearn to document daily in CCC one and Dealertrack as well as entering estimate information into Dealertrack and maintain DRP logbooks.Communicate effectively with customer/insurance company throughout the repair process. Notify customer if any delays.Reconcile A/R, deposit, and sublet schedules. Post sublets to repair orders including and with insurance companies regarding unpaid supplements.Accept payment for repair orders as vehicles are picked up.
