Job summary

Audi of West Houston, a Sonic Automotive family dealership, seeks a Warranty Admin Manager to oversee our warranty claim processes, ensure OEM compliance, accuracy, and maximum reimbursement from manufacturers. You will audit repair orders, coordinate with service, parts and technicians, and maintain audit-ready documentation.

The role requires 3+ years in automotive warranty administration, deep OEM policy knowledge, and experience with DMS platforms such as CDK or Reynolds & Reynolds.

Qualifications

• 3+ years of automotive warranty administration experience in a dealership.
• Strong knowledge of OEM warranty policies and procedures.
• Proficiency in dealership management systems (DMS) such as CDK or Reynolds & Reynolds.
• Exceptional attention to detail and documentation review skills.
• Effective communication and collaboration with service, parts, and manufacturer contacts.

Responsibilities

• Accurately process and submit manufacturer warranty claims, ensuring full compliance with OEM policies and timelines.
• Audit repair orders for proper documentation, labor ops, technician notes, and time stamps to reduce claim denials and chargebacks.
• Reconciles all warranty receivables with payments through the appropriate accounting schedule.
• Act as the primary point of contact for all manufacturer warranty matters, including audits, inquiries, goodwill requests, and program submissions.
• Collaborate with service advisors, technicians, and parts personnel to ensure warranty documentation is complete, consistent, and audit-ready.
• Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed.
• Arranges for parts to be shipped to the factory or distributor, or to be scrapped.
• Monitor and manage warranty receivables, aging reports, and claim status to ensure timely reimbursement and minimize outstanding balances.
