Job summary

The Schwarzman Animal Medical Center in New York City seeks a Care Coordinator (Front Desk Office Administrator) to ensure smooth patient care across departments. You will greet clients, register patients, manage scheduling via EMR, and triage calls while maintaining confidentiality and high service standards.

Responsibilities include check-in/out, payments, referrals, and liaison with rDVMs. A high school diploma and strong communication skills are required; AMC offers a robust benefits package

Qualifications

• Minimum of 2 years of veterinary or human medical clerical experience.
• Minimum of 2 years of customer service in a professional setting.
• Excellent written and verbal communication skills.
• Strong organizational abilities with multitasking and issue resolution.
• Ability to interact effectively with all staff, clients and partners.
• Ability to work independently with minimal supervision.
• Adherence to protocols and documentation standards, including handling sensitive information.
• Commitment to ongoing learning and skill development.

Responsibilities

• Serve as primary liaison between Internal Medicine and other departments, clients and rDVMs.
• Handle client check-in/out and patient registration/discharge.
• Triage calls to determine appropriate responses for patients and clients.
• Use EMR for scheduling, reminders, no-shows, and cancellations.
• Collect referrals and complete preregistration paperwork with partners.
• Assist with prescription and insurance requests.
• Ensure all updates and communications reach the rDVM and client.
• Manage cash collection and payment plans per guidelines.
• Provide concierge service to help clients navigate the hospital.
• Update clients with daily inpatient status reports when requested.
• Convey patient status and instructions clearly to clients.
• Master Instinct EMR/email/fax/phone and other systems as needed.
• Maintain cleanliness and comfort of AMC patients.
• Other duties as needed.
