Job summary

The Schwarzman Animal Medical Center, the world’s largest nonprofit animal hospital, is seeking a full-time Emergency Services Coordinator to provide clerical support in the Emergency Services.

This role requires strong multitasking, high attention to detail, and excellent communication while handling admissions, referrals, and client interactions in a busy ECC setting in NYC.

Qualifications

  • Minimum of 2 years veterinary/human health clerical experience.
  • Minimum of 2 years customer service in a professional setting.
  • High School Diploma required, Bachelor's Degree preferred.
  • Excellent written and verbal communication skills.
  • Must be able to handle high pressure situations.
  • Must have an attention to detail.
  • Well organized and the ability to multitask.
  • Must be able to lift at least 50 lbs.
  • Must be able to bend/kneel with patient assistance.
  • Ability to interact with all levels of staff, clients, and veterinarian practices.
  • Maintain confidently and handle sensitive information with accuracy according to policies.

Responsibilities

  • Serve as primary liaison between The Schwarzman Animal Medical Center and referral veterinarians as well as internal and external clients.
  • Responsible for client check in and check out, including patient registration, admission, and discharge.
  • Triage calls from staff, rDVMs, and clients to determine appropriate response.
  • Schedule appointments and manage reminders, no-shows, and cancellations.
  • Process cash collection and ensure compliance with guidelines.
  • Obtain referral documentation, medical records, and pre-registration paperwork.
  • Provide concierge service to clients and referrals by guiding them through the hospital.
  • Track and distribute patient updates and communications to rDVM and client.
  • Update clients on inpatient status with clear, thorough information.
  • Master electronic medical records and telephone systems within the department.

The Schwarzman Animal Medical Center, the world's largest non profit animal hospital is seeking a full time Emergency Services Coordinator which will be responsible for providing clerical support to the Emergency Services.

Duties Will Include But Are Not Limited To
  • Stocking and ordering
  • maintaining files, managing correspondence with Clients & rDVMs by email, phone, in-person
  • Assisting with discharges, prescription requests, and insurance forms
  • Other duties as assigned

The Emergency Service is a fast paced environment that requires an individual who is:

  • Minimum of 2 years veterinary/human health clerical experience
  • Minimum of 2 years customer service in a professional setting
  • High School Diploma required, Bachelor's Degree preferred

  • Must be able to handle high pressure situations

Specific Duties And Responsibilities
  • Serve as primary liaison between The Cancer Institute at AMC and Referral Veterinarians (rDVM) as well as internal and external clients
  • Responsible for client check in and check out, which includes (but not limited to) patient registration, admission, and discharge
  • Effectively triage phone calls from AMC staff, rDVMs, and clients utilizing excellent decision making and problem solving skills to determine the appropriate response to meet client, rDVM, and pet needs
  • Schedule appointments with clients and manage appointment reminders, no shows, and cancellations
  • Provide efficient cash collection/payment planning while ensuring compliance with established guidelines and policies
  • Obtain all necessary referral documentation, medical records, and pre-registration paperwork
  • Provide concierge service to clients and referrals by greeting clients, helping them navigate the hospital, and directing them to appropriate areas
  • Track and ensure that patient updates and all forms of client communication have been successfully distributed or transmitted to the rDVM and client
  • Update clients as requested by veterinary staff with daily status reports on inpatient pets. Convey patient status information and instructions to the client in a thorough, comprehensive, and appropriate manner
  • Process general information calls regarding routine pet care and information regarding other AMC services
  • Care Coordinators will be required to master skills associated with electronic medical records and telephone systems to function at an ideal level within the department
  • Other duties as deemed necessary
