Job summary

The Schwarzman Animal Medical Center is seeking a full-time Care Coordinator for the Cancer Institute in New York City to provide clerical support to the hospital’s Oncology department.

The role acts as a liaison between the Cancer Institute, referral veterinarians, and clients, handling check-ins/outs, scheduling, payments, and patient updates while maintaining privacy and accuracy in records.

Qualifications

• Minimum 2 years veterinary/human health clerical experience.
• Minimum 2 years customer service in a professional setting.
• Excellent written and verbal communication skills.
• Well organized and able to multitask in a busy environment.
• Ability to interact with staff, clients, and veterinarians.
• Maintain confidentiality and handle sensitive information.

Responsibilities

• Serve as primary liaison between the Cancer Institute at AMC and referral veterinarians and clients.
• Responsible for client check-in and check-out, including registration, admission, and discharge.
• Triage calls from AMC staff, rDVMs, and clients to determine appropriate response.
• Schedule appointments and manage reminders, no-shows, and cancellations.
• Provide efficient cash collection/payment planning while ensuring compliance.
• Obtain referral documentation, medical records, and pre-registration paperwork.
• Provide concierge service to clients and referrals by guiding them through the hospital.
• Distribute patient updates and client communications to rDVMs and clients.
• Update clients with daily inpatient status and instructions from veterinary staff.
• Master electronic medical records and telephone systems to perform effectively.
• Other duties as deemed necessary.
