Responsibilities

• Warmly greet clients and patients and facilitate efficient check-in and check-out.
• Maintain an organized reception flow and help minimize client wait times.
• Schedule and confirm appointments by phone, email, text, and online portals.
• Answer incoming calls using professional telephone etiquette and established hospital protocols.
• Route medical questions, urgent concerns, and other inquiries to the appropriate veterinary team member.
• Monitor and respond to client communications throughout the day.
• Create, update, and maintain accurate client and patient records in the practice management system.
• Address client questions and concerns with compassion and professionalism, escalating issues when additional assistance is needed.
• Process financial transactions accurately and follow established hospital procedures.
• Maintain appropriate documentation in accordance with hospital policies.
• Keep the reception area and workspace clean, organized, welcoming, and professional.
• Collaborate with the veterinary team to support excellent patient care and a positive client experience.
