Job summary

Cox Automotive - USA is seeking a Commercial Services Specialist II to manage customer accounts, perform data entry, and coordinate vehicle-related processes. The role involves working on site with day shifts, handling invoicing, and ensuring accurate vehicle records and communications with customers and teams.

Responsibilities include maintaining vehicle files, coordinating with transportation and sales teams, and generating reports while upholding safety standards.

Qualifications

• HS Diploma/GED with 3+ years in a related field.
• Alternate: any degree/cert beyond HS or 5+ years related experience.
• Fast-paced environment; ability to multitask.
• Prior clerical or administrative experience required.
• Proficient in basic computer programs and MS Office.
• Commitment to excellent customer service per client contracts.
• Ability to operate adding machines and other office equipment.
• Sit or stand for prolonged periods; good organizational skills.

Responsibilities

• Perform data entry of required information.
• Manage account relationships and maintain communications.
• Work with posting clerk to apply charges to vehicles.
• Respond to customer inquiries and provide quality service.
• Coordinate with Transportation Team for transport and reports.
• Establish electronic vehicle files and keep them updated.
• Enter floor price information into the system.
• Prepare vehicle sale runs with orders and scheduling.
• Reconcile invoices and missing information with coordinators/vendors.
• Balance sales with accounting for post-sale invoicing.
• Prepare vehicles for online programs with Vehicle Operations.
• Create reports and handouts like sales and expense reports.
• Demonstrate safety by following health and safety procedures.
• Perform other duties as assigned by management.
