Job summary

Harborview Urology clinic at Harborview Medical Center has a full-time, 40-hour-per-week on-site Program Coordinator/Scheduler role to support referral workflows, scheduling, and patient communications.

You will maintain Epic-based referral tracking, collaborate with clinical teams and Billing, and ensure timely authorization and documentation. Excellent communication and organizational skills are essential; experience with EHRs and coordinating care across departments is preferred.

Qualifications

• High school diploma or equivalent; plus 2 years’ experience in the program specialty.
• Experience with referral workflows and scheduling in clinical settings.
• Ability to use Epic and other EHR systems for documentation and tracking.

Responsibilities

• Develop, implement, document, and maintain standardized referral workflows, including specialty-specific processes, staff roles, forms, and communication tools.
• Oversee referral processing to ensure appropriate clinical triage, scheduling, complete documentation, and timely authorization.
• Serve as the primary contact for incoming referrals, new patients, and referring providers; communicate referral status, resolve issues, and troubleshoot missing or lost referrals.
• Maintain referral tracking and documentation in Epic, ensuring accurate information and appropriate follow-up.
• Coordinate with clinical teams, Managed Care, Financial Services, and Patient Financial Relations to support authorization requirements, financial counseling, and billing compliance.
• Collaborate with physicians and staff to improve referral processes, provide education, and support consistent workflow implementation.
• Participate in staff meetings, quality improvement initiatives, and interdisciplinary problem-solving activities.
• Perform other related duties as assigned.
