Job summary

Responsibilities

  • Manage daily attendance reporting for the Upper School.
  • Coordinate attendance updates for substitutes, field trips, and other special circumstances.
  • Handle early dismissals and communications with faculty.
  • Oversee the collection and distribution of student cell phones per school policy.
  • Prepare Omnicards and maintain related spreadsheets.
  • Coordinate and distribute subway passes for field trips and other activities.
  • Provide administrative support for major Upper School events (e.g., Curriculum Night, Graduation, First Day activities).
  • Support the Domestic Symposium by managing attendance, transportation passes, budget spreadsheets, scheduling, and other needs.
  • Provide administrative support for student life programs as directed by the Dean of Student Life and Leadership.
  • Manage office supplies and maintain the Upper School office appearance.
  • Oversee locker assignments and the lost-and-found system.
  • Contribute to smooth operations and perform related duties as assigned.

Job description

Packer seeks an Upper School Operations Assistant to support the daily operations of the Upper School and help ensure an organized, welcoming, and responsive experience for students, families, and faculty. This is a high-energy, fast-paced work environment. As this individual must respond to a wide range of circumstances, many of them unforeseen, it is essential that they be energetic, patient, flexible, empathetic, and self-starting, with the ability to anticipate needs, troubleshoot problems, and manage multiple priorities effectively.

Given the importance of this role in creating a positive experience for students and families, the person in this position should enjoy working with adolescents and be committed to fostering a welcoming, responsive, and well-organized environment.

This full-time, ten-month position reports to the Upper School Administrative & Communications Coordinator, with day-to-day collaboration with the Dean of Student Life and Leadership.

Responsibilities
Student Attendance and Phone Management
  • Manage daily student attendance reporting for the Upper School.
  • Coordinate attendance updates related to substitute teachers, field trips, and other special circumstances.
  • Manage the process for early dismissals, including athletic events and individual requests.
  • Communicate with faculty daily to ensure timely, accurate classroom attendance.
  • Oversee the collection and distribution of student cell phones in accordance with school policies.
Transportation and Logistics
  • Prepare Omnicards and maintain associated spreadsheets.
  • Coordinate and distribute subway passes for field trips and other approved school activities.
Administrative Support
  • Provide administrative support for major Upper School events, including Curriculum Night, Graduation, and First Day activities.
  • Support the Domestic Symposium program by managing attendance, transportation passes, budget spreadsheets, scheduling, and other administrative needs as directed by the Domestic Symposium Coordinator.
  • Provide administrative support for student life programs and events as directed by the Dean of Student Life and Leadership.
Office Operations
  • Manage office supplies and maintain the organization and appearance of the Upper School office.
  • Oversee locker assignments and maintain the lost-and-found system.
  • Contribute to the smooth functioning of the Upper School office and perform other related duties as assigned.
