Velocity is seeking to hire a Trade Show Specialist. The primary function of the Trade Show Specialist is to plan, manage, and execute all aspects of our trade show and event participation. The Trade Show Specialist will be responsible for coordinating logistics, managing timelines, and ensuring a seamless experience that aligns with the company’s marketing and sales goals. This role requires excellent project management skills, communication abilities, and a passion for delivering high-quality events that drive brand awareness and customer engagement. Must be able to travel as required for trade shows and industry events.

Principal Duties and Responsibilities:

Event Planning & Logistics:

  • Plan, coordinate, and execute all aspects of trade shows and industry events, including booth design, logistics, setup, and teardown.
  • Lead booth functional design with outside contractors for large events.
  • Manage event timelines and ensure all deadlines are met for materials, registration, and deliverables.
  • Coordinate with internal teams (marketing, sales, and product) to align event strategies with business objectives.
  • Research and select trade shows that align with company goals, ensuring maximum return on investment.
  • Serve as POC (Point of Contact) for all tradeshow activities.

Vendor & Stakeholder Management:

  • Source, negotiate, and manage relationships with external vendors for booth construction, shipping, and other event-related services.
  • Communicate with event organizers to manage registration, sponsorships, and compliance with event regulations.
  • Collaborate with internal stakeholders to ensure consistent messaging and branding across all events.
  • Execute internally with the accounting department to complete and process purchase orders across all vendors for a successful event.

Marketing & Promotion:

  • Partner with the marketing team to develop pre-show, on-site, and post-show promotional strategies.
  • Coordinate with content & graphics SMEs on event materials and signage.
  • Assist in the creation of event collateral, including brochures, giveaways, and digital assets.
  • Ensure brand guidelines are followed in all trade show materials and booth designs.

Budget & Reporting:

  • Develop and manage trade show budgets, ensuring costs are tracked and within approved limits.
  • Enter and track trade show expenses to budget.
  • Evaluate the effectiveness of trade show participation through post-event reporting and analysis.
  • Identify areas for improvement and provide strategic recommendations for future events.

Qualifications and Education:

  • High school diploma required.Bachelor’s degree in marketing, communications, business, or a related field preferred.
  • 2+ years of experience in trade show coordination, event planning, or a similar role.
  • Strong project management skills with the ability to manage multiple events simultaneously.
  • Excellent communication and interpersonal skills for collaborating with internal and external partners.
  • Proficiency in event management software, Microsoft Office Suite, and CRM platforms.
  • Ability to travel as required for trade shows and industry events.
