Description

We are seeking a highly organized and motivated Marketing Events and Trade Show Coordinator to plan, execute, and oversee trade shows, meetings, and other events related to customers and prospects. The successful candidate will work closely with the sales team, business development, Marketing Manager and other stakeholders to ensure that all aspects of events are carried out seamlessly and successfully. This position will play an integral role in working cross-functionally to create memorable conference and event experiences, including VIP events to establish and deepen our relationships with clients. The ideal candidate will collaborate with internal and external partners to drive timely decision-making, provide timely and appropriate communication with all stakeholders, and ensure flawless oversight of each event.

Responsibilities:

  1. Execute trade show plans, including timelines, budgets, and resource allocation for up to 20+ trade shows and events annually.
  2. Work closely with the sales team and business development to understand requirements and ensure that their needs are met.
  3. Coordinate trade show logistics, including space rental, booth design, furnishings, registrations, invoice payments, and promotional products.
  4. Pack trade show supplies and coordinate shipment to and from venues.
  5. Maintain accurate records and files related to trade shows, including financial records, vendor contracts, and attendee information.
  6. Support the communication of brand messages to improve awareness of the Company and its products.
  7. Assist in the development and implementation of creative approaches that promote awareness of company brands in the industry, including key target markets and focus accounts.
  8. Oversee attire, swag and collateral ordering and ongoing inventory, including assisting in outbound event campaign drop shipment logistics.
  9. Assist onsite with all logistics as required, including booth set up and teardown, and assisting in lead collection. This role requires the ability to act as an ad hoc sales representative to aid in sales efforts for lead generation.

Requirements:

  1. Bachelor’s degree in marketing or communications discipline and 2+ years marketing, event coordinating, and company branding experience.
  2. 6+ years major marketing experience for similar Company in lieu of degree.
  3. Excel – expert level required.
  4. Inventory control experience.
  5. Strong project management skills.
  6. Ability to pivot and problem solve at any given moment.
  7. Be willing and able to travel to events as needed (about 15% - 20%).
  8. You must be physically able to assist in booth setup and teardown, being able to lift 40+ pound boxes and maneuver banner cases.
