Qualifications

  • Strong Excel skills and working knowledge of Word.
  • Experience with financial systems and reporting tools.

Job Title: Senior Territory Operations Coordinator

Location: Charlotte, North Carolina Hybrid; onsite Tuesday, Wednesday, and Thursday

Schedule: MondayFriday, 8:30 a.m.4:30 p.m.

Overview

This role manages the financial, administrative, facilities, vendor, and operational activities supporting multiple locations within an assigned territory. The Senior Territory Operations Coordinator will independently oversee budgets, forecasts, contracts, procurement activities, office operations, fleet coordination, compliance requirements, and process improvements.

This is an operations-focused position requiring hands-on ownership, sound business judgment, and the ability to manage multiple priorities across a matrixed organization.

Key Responsibilities
  • Prepare annual operating budgets, complete monthly forecasts, and monitor financial performance against budget.
  • Track expenses, verify financial coding, prepare revenue and expense reclassifications, and support accurate financial reporting.
  • Manage vendor relationships, contracts, purchase requests, invoices, service delivery, and payment timelines.
  • Solicit vendor quotations, evaluate bids, negotiate costs, and coordinate the procurement of equipment, materials, supplies, and services.
  • Coordinate maintenance and facilities support for multiple office locations in partnership with internal teams and external vendors.
  • Manage timelines, deliverables, and stakeholders across multiple concurrent operational initiatives.
  • Track contracts and ensure compliance with contractual terms and payment requirements.
  • Coordinate fleet maintenance and other territory-level fleet operations.
  • Oversee office procedures, supply inventory, safety plans, business continuity activities, and general workplace operations.
  • Track operational metrics and maintain accurate administrative and financial records.
  • Coordinate applicable data-security training, audit standards, and compliance activities.
  • Identify operational issues, recommend solutions, and implement process improvements.
  • Support territory leaders and cross-functional stakeholders while independently prioritizing competing needs.
  • Escalate significant financial, contractual, or strategic issues when necessary.
Required Qualifications
  • Bachelors degree with at least five years of related experience, including procurement and office management experience; six or more years of related experience may be accepted in place of a degree.
  • Hands-on experience preparing and managing departmental, regional, or comparable operating budgets.
  • Experience with monthly forecasting, variance analysis, expense tracking, financial coding, and cost controls.
  • Experience managing procurement, purchasing, vendor relationships, or contract administration.
  • Ability to solicit and evaluate vendor quotes, analyze bids, monitor contracts, and oversee vendor performance.
  • Experience coordinating projects or operational initiatives involving multiple timelines, deliverables, and stakeholders.
  • Strong Microsoft Excel skills and working knowledge of Microsoft Word.
  • Experience using financial systems, reporting tools, or other business platforms to support operational and administrative work.
  • Strong attention to detail, organization, task management, and data accuracy.
  • Ability to work independently, make day-to-day decisions, meet deadlines, and manage competing priorities with minimal supervision.
  • Clear written and verbal communication skills and a demonstrated ability to collaborate across departments.
Preferred Qualifications
  • Experience supporting regional, territory-based, or multi-location operations.
  • Background in nonprofit operations, healthcare administration, corporate office administration, facilities management, or business operations coordination.
  • Facilities or office management experience.
  • Experience supporting senior leadership.
  • Experience working across shared-services or matrixed organizations.
  • Experience with operational reporting, process improvement, fleet coordination, inventory oversight, safety planning, business continuity, or compliance administration.
