Job summary

Responsibilities

  • Provide administrative support to company leadership and operational teams.
  • Manage company correspondence, including mail, email, phone messages, and general inquiries.
  • Maintain office, warehouse, and employee supply inventories.
  • Organize and maintain physical and electronic records.
  • Assist with employee onboarding and offboarding activities.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Serve as a professional point of contact for employees, vendors, customers, and business partners.
  • Coordinate and track vehicle maintenance schedules, fleet records, expenses, invoices, and documentation.
  • Assist with fleet logistics, towing requests, service appointments, and operational support needs.
  • Monitor communications related to collection sites, field operations, maintenance needs, and priority issues.
  • Maintain accurate records within company databases, spreadsheets, and operational systems.
  • Generate reports and assist with invoicing, data entry, and operational tracking.
  • Support process improvements that increase efficiency and organization.
  • Assist with employee documentation and personnel record maintenance.
  • Support hiring, onboarding, equipment assignment, and payroll-related administrative functions.
  • Help ensure accurate recordkeeping and compliance with company procedures.

The Operations & Administrative Manager serves as a critical member of our support team, helping ensure the efficient operation of our administrative, logistics, fleet, HR, and office functions.

The ideal candidate is highly organized, detail-oriented, comfortable working independently, and capable of balancing multiple priorities in a fast-paced environment. This role is perfect for someone who enjoys problem-solving, improving processes, and helping an organization run smoothly.

This is an in-office position based at our Durham, NC headquarters. Remote work is not available. Candidates outside the area must be willing to relocate at their own expense.

Key Responsibilities:
Administrative & Office Operations
  • Provide administrative support to company leadership and operational teams

  • Ability to learn new systems and technology quickly
  • Experience working in a fast-paced environment with changing priorities
