Job Title: Operations Coordinator (Operational Performance and Support)

Job Overview:

The Operations Coordinator provides administrative and logistical support to ensure the smooth and efficient daily operation of the department. This role requires someone who is highly organized, detail-oriented, and adaptable to a dynamic environment. The Operations Coordinator will collaborate closely with the Fleet Manager to support fleet logistics, ensuring efficient support services, implementing effective operational processes, and monitoring key metrics to meet performance and compliance standards. Additionally, this role involves tracking and documenting training needs, creating training materials, scheduling training sessions, and coordinating logistics with other teams.

Fleet Services:
  • Collaborate with the manager to monitor and report on fleet operations, including vehicle maintenance, dispatching, routing, and tracking.
  • Assist with vehicle procurement, registration, and ensuring compliance with regulations.
  • Monitor and report on fleet utilization, fuel consumption, and operational costs.
  • Work with the Director and Manager to implement and document strategies for improving fleet efficiency, including fuel management, fleet utilization, and preventative maintenance programs.
  • Collect data to identify cost‑saving opportunities for the fleet budget.
  • Manage the Fleet Portal on a daily basis.
Operational Support Management:
  • Work with the manager to develop, implement, and monitor operational support policies for Centralized Operations team members, documenting their experiences, concerns, and suggestions.
  • Support the manager with the logistics of coordinating events and parties for the Centralized Operations team.
  • Assist in documenting overall organizational objectives as they relate to Field Operations teammates.
  • Prepare documentation related to operations costs, including apparel and other miscellaneous items.
Training:
  • Track and manage certifications for the Field Operations Team.
  • Work with the team to document, identify, develop, and design training materials, including manuals, e‑learning modules, presentations, and exercises, based on expert knowledge and industry best practices.
  • Collaborate with the training team to ensure training content is accurate, up‑to‑date, and aligned with the latest trends and industry requirements, maintaining all documentation in a centralized location.
  • Support the Training Manager in logging and recording training classes and developed content.
  • Work with the Manager and Director of VPP to manage partner and subcontractor major certification processes.
  • Manage the Training Portal on a daily basis.
Qualifications:
  • Ability to provide expert advice, guidance, and solutions in complex situations.
  • Strong analytical and problem‑solving skills.
  • Excellent communication and interpersonal skills, with the ability to convey complex information clearly and effectively.
  • Learning Management System (LMS) experience preferred.
  • Proficiency in all aspects of Microsoft Office Suite.
  • Knowledge of adult learning concepts.
  • Flexible and adaptable with the ability to take on different projects or learn new areas as needed.
  • Ability to manage multiple tasks simultaneously, including scheduling and monitoring programs and applications.
  • Excellent customer service skills, helping team members and new hires feel welcome and comfortable.
  • Strong time management, public speaking, problem‑solving, and both verbal and written communication skills.
  • Experience in co‑developing training content is preferred.
Education:
  • Bachelor's degree preferred, or equivalent experience.
