Qualifications

• 1–3 years of experience in recruiting coordination or HR administration
• Experience with high-volume interview processes and admin
• Hands-on experience with ATS (Ashby, Lever, Greenhouse or similar)
• Strong calendar management and ability to juggle 20+ interview loops

Responsibilities

• Coordinate interview scheduling across multiple time zones and calendars
• Prepare interview itineraries, prep materials and invites
• Manage reschedules and cancellations to keep timelines
• Coordinate onsite logistics, travel and expense reimbursement when needed
• Serve as the first point of contact for candidates from application through offer
• Send timely status updates, confirmations and rejections using templates
• Track NDAs to candidates at hiring manager stage and ensure signed before steps
• Collect candidate feedback and suggest process improvements
• Keep Ashby clean and current: stages, dispositions and postings
• Chase outstanding interviewer scorecards to keep decisions on schedule
• Post, update and close job openings; sync recruiting tracker with live postings
• Help process referral submissions and track referral bonus eligibility
• Prepare offer letters and packets, route for approval and track signatures
• Run background check requests and track completion
• Hand off new hires to People Ops with complete paperwork
• Pull weekly pipeline and time-to-fill reports for team
• Document coordination workflows and standardize templates/checklists
• Support employer branding at career fairs and events
