Job summary

iCare Health Solutions, a VSP Vision™ company, is seeking a full-time Surgical Scheduler to coordinate and schedule surgical cases and other procedures. Reports to Center Director and/or Lead Nurse, ensuring charts, insurance info, and required clearances are complete.

The role requires at least one year of scheduler experience, and experience with NextGen is a plus. Excellent communication with surgeons and staff is essential, with attention to patient privacy and data accuracy.

Qualifications

• At least one year experience as a scheduler preferred and medical background.
• One to three months on-the-job training to attain proficiency.
• Verbal ability required to comprehend written instructions regarding scheduled procedures.
• Clerical ability to avoid perceptual errors when completing patient information forms.
• Ability to interact with surgeons and their staff to admit Center patients.
• Interest in patient/family as individuals through respectful communication.
• For roles that are remote or hybrid, must demonstrate engagement in virtual environments

Responsibilities

• Schedules surgery patients at the Center according to established policies and procedures.
• Schedules and registers all surgery patients at least one month in advance in NextGen, ensuring insurance and procedure information is accurate, preparing charts and printing labels.
• Cancels surgery procedures in the system and tracks trends.
• Ensures that H & P’s, labs, surgery clearances, pathology, EKGs, etc. are in the charts prior to surgery.
• Compares surgery schedule to charts to ensure all patients have been captured.
• Handles all surgery related calls.
• Collects data pertaining to the Patient Satisfaction Survey and reports findings for month-end statistics.
• Orders all surgery related chart supplies.
• Distributes schedules for the next day to all departments.
• Advises the nursing department of cases requiring special needs and/or accommodations.
• Performs other related duties for efficient operation of the Surgery Center.
