Job summary

University of Virginia is seeking an Access Associate Senior to support the Scheduling Office in producing the ORMIS Daily OR Schedule and related documents. You will locate orders in Epic systems, scrub orders for accuracy, and coordinate with providers to ensure efficient operating room utilization.

The role requires strong scheduling skills, familiarity with ERP/Clinic systems, and excellent communication to guide patients through pre-op processes.

Qualifications

• Education: High School Graduate or equivalent; Associates Degree preferred.
• Experience: Prior scheduling or health administration exposure preferred.
• Familiar with Epic scheduling modules and hospital information systems.

Responsibilities

• Facilitates and produces the ORMIS Daily OR Schedule and supporting documents.
• Locates orders on the Depot and schedules procedures in Epic systems (OpTime, Cupid, Radiant).
• Scrubs case orders for accuracy; ensures diagnoses and procedures match.
• Escalates issues to the ordering provider for needed corrections.
• Maintains scheduling data accuracy and updates Snapboard with time/room needs.
• Provides case duration estimates considering room turnover and surgeon input.
• Manages records in Jamitron and other departmental databases.
• Communicates schedule changes to care teams and reschedules as needed.
• Educates patients on pre-surgery requirements and coordinates Pre-Op/Post-Op.
• Ensures appropriate pre-certifications and insurance information handling.
