Job summary

Virginia Physicians For Women in Midlothian, VA is seeking a full-time Surgery Scheduler to coordinate surgical procedures with area hospitals and our surgery center. This onsite role at the Koger Center Blvd office focuses on optimizing operating room time and ensuring clear communication among patients, departments, physicians, and facilities.

The candidate will manage pre/postoperative scheduling, patient instructions, consents, and documentation, with strong HIPAA knowledge and proficiency

Qualifications

• High school diploma or equivalent.
• 2+ years of surgery scheduling experience preferred.
• 4+ years in a medical office with scheduling and terminology.
• Strong verbal and written communication with detail.
• Courteous, professional demeanor with internal and external stakeholders.
• Sound judgment in handling inquiries and deviations from procedures.
• Patient-focused, able to address concerns and maintain dignity.
• Understanding of physician scheduling preferences.
• Proficient in medical terminology, HIPAA guidelines, and ModMed.
• Proficient in Office 365 (Word/Outlook/Excel).
• Prioritize tasks and manage details in a fast-paced setting.
• Judgment to seek guidance when needed and handle increased workload.
• Ability to perform accurately during busy periods.
• Position involves extended phone work and extensive sitting.

Responsibilities

• Coordinate surgical scheduling with patients, internal departments, hospital schedulers, and physicians.
• Schedule all preoperative and postoperative appointments related to surgery.
• Explain the scheduling process, provide pre-op instructions, and answer questions.
• Obtain appropriate patient consent forms.
• Ensure surgical orders are completed and available to parties.
• Generate electronic communications to patients, including questionnaires and letters.
• Contact hospitals, insurers, and patients to obtain/confirm authorizations and appointments.
• Cancel and reschedule surgeries with proper notifications.
• Maintain timely, complete documentation for continuity of care.
• Perform other duties as assigned by management.
• Maintain regular and predictable attendance.
