Job summary

FIJI Water Company is seeking a detail-oriented Invoice Processing, Validation & Controls professional to manage logistics invoices, validate charges, and support month-end close processes. The role focuses on accuracy, data-driven insights, and strong coordination with Logistics and Finance teams.

You will maintain rate sheets, coordinate with vendors, and drive improvements in invoicing accuracy and financial reporting across warehouse operations.

Qualifications

• Bachelor's degree in Business, Supply Chain, Finance, or related field (or equivalent experience)
• 2-5 years of experience in logistics operations, supply chain, warehouse operations, finance, accounting, business analytics, or a related analytical role.
• Strong analytical skills with the ability to identify trends, reconcile large data sets, investigate discrepancies, and translate findings into actionable recommendations.
• Strong attention to detail with ability to identify discrepancies and resolve issues independently
• Advanced proficiency in Microsoft Excel, including PivotTables, XLOOKUP, data reconciliation, and large dataset analysis; experience with Power BI or similar reporting tools preferred.
• Experience with ERP, transportation management, and invoice processing systems preferred (e.g., Oracle, Inspyrus, OTM).
• Effective communication and cross-functional collaboration skills
• Ability to manage multiple priorities in a fast-paced environment
• Interest in developing broad knowledge of warehouse operations, inventory governance, quality processes, and logistics.
• Experience supporting warehouse operations, inventory governance, quality reporting, or product disposition processes is preferred.

Responsibilities

• Process logistics and warehousing invoices in alignment with contractual rates, rate cards, and tolerance thresholds.
• Validate vendor charges against contracts, accessorial schedules, and supporting documentation; resolve billing discrepancies.
• Approve, reject, or escalate invoices based on contractual compliance and financial impact.
• Maintain and update rate sheets, contracts, and billing reference data for accurate validation.
• Serve as primary contact for vendor invoice inquiries and exceptions; resolve disputes and follow up on missing or inaccurate invoices.
• Partner with Logistics and Finance to resolve complex billing issues and improve invoice accuracy.
• Prepare and submit accruals for logistics expenses not yet invoiced; align with actual activity and costs.
• Support month-end and quarter-end close processes, including reconciliation of logistics expenses and variance analysis.
• Own the reporting and reconciliation of Quality Hold inventory; sync with WMS reports.
• Coordinate disposition of non-sellable inventory with records of destruction/recycling and approvals.
• Maintain dashboards for trends, root causes, and corrective actions; provide visibility to leadership.
• Coordinate and document warehouse inspections for RMAs and inbound quality issues.
• Develop and maintain KPI reports and dashboards for warehouse performance and financial visibility.
• Develop reporting enhancements and automation to reduce manual work and improve data visibility.
• Assist with inventory reconciliations, data validation, and system accuracy for inventory integrity.
• Provide analytical support for warehouse operations, inventory controls, and cost management.
• Maintain SOPs and reporting tools to improve consistency and execution.
• Cross-train across warehouse operations and quality processes for flexible support.
