Job summary

Everlaw is seeking a Renewals Manager in Oakland, CA for a full-time, hybrid role. You will own a rolling pipeline of internal SaaS and IT contract renewals, preventing unfavorable auto-renewals while driving cost savings through usage analysis and license right-sizing.

You will partner with Legal, Security, IT, Compliance, FP&A and other teams to ensure approvals, maintain records in ZIP, and build disciplined renewal processes across a high-volume portfolio.

Qualifications

• At least 5 years of progressive procurement experience, ideally in tech/software.
• Experience managing end-to-end renewal pipelines and refining procurement functions across multi-location orgs.
• Strong data analysis skills with usage metrics to support right-sizing software agreements.
• Effective communication across all levels, building cross-functional relationships with Legal, Security, IT and Finance.
• Process-oriented with attention to detail, managing contract hygiene and notice windows in a high-volume portfolio.

Responsibilities

• Maintain a rolling 12-month renewal calendar and initiate cycles 90–120 days before expiration to prevent auto-renewals.
• Analyze usage data with IT Asset Management to identify unused seats and over-provisioned tiers.
• Negotiate in-scope software and IT renewals using playbooks and pre-approved fallback positions to limit uplifts.
• Coordinate cross-functional reviews for data privacy, security, and budget approvals before execution.
• Administer procurement software systems (ZIP) and maintain contract records, renewal dates, spend data, and savings metrics.
