Job summary

Everlaw is seeking a Renewals Manager to own the rolling renewal pipeline for internal SaaS and IT contracts in Oakland, CA. You will drive cost savings through usage analysis and right-sizing, and prevent unfavorable auto-renewals by negotiating with cross-functional partners.

You'll work with Legal, Security, IT, Compliance, and FP&A to ensure data privacy and budget approvals, while administering ZIP procurement software and maintaining contract records.

Qualifications

  • 5+ years of progressive procurement experience in tech or software.
  • Experience managing end-to-end renewal pipelines across multi-location organizations.
  • Strong data analysis skills and using usage metrics to drive right-sizing of software agreements.
  • Effective communication across all organizational levels with Legal, Security, IT, and Finance teams.

Responsibilities

  • Maintain a rolling 12-month renewal calendar and initiate cycles 90–120 days before expiration to prevent unintended auto-renewals.
  • Analyze utilization data to identify unused seats, over-provisioned tiers, and shelfware before negotiation targets.
  • Negotiate in-scope software and IT renewals using playbooks and pre-approved fallback positions to limit uplifts.
  • Coordinate cross-functional reviews across Legal, Security, IT, Compliance, and FP&A to confirm data privacy, security, and budget approvals prior to execution.
  • Administer procurement systems (ZIP) and maintain contract records, renewal dates, spend data, and savings metrics.

Partnering closely with internal teams across Engineering, IT, HR, and Marketing, you'll manage the day-to-day commercial lifecycle for our expiring vendor contracts and build disciplined, data-backed renewal processes.**This is a full-time, non-exempt position based in our Oakland, CA office with a hybrid work schedule: in office M/W/Th with the option to work from home on Tu/Fr.****What you'll do*** Maintain a rolling 12-month renewal calendar, initiating cycles 90–120 days prior to expiration to prevent unintended auto-renewals or contract lapses.* Analyze utilization data alongside IT Asset Management to identify unused seats, over-provisioned tiers, and shelfware before setting negotiation targets.* Negotiate in-scope software and IT renewals using established playbooks, benchmarks, and pre-approved fallback positions to limit uplifts and secure favorable terms.* Coordinate cross-functional reviews across Legal, Security, IT, Compliance, and FP&A to confirm data privacy, security, and budget approvals prior to execution.* Administer procurement software systems (specifically ZIP) and maintain accurate contract records, renewal dates, spend data, and savings metrics in the system of record.**About You*** You have at least 5 years of progressive procurement experience, ideally within a fast-growing technology or software environment.* You've managed end-to-end renewal pipelines and have experience establishing or refining procurement functions across multi-location organizations.* You bring strong data analysis skills and a track record of using usage metrics to build reduction cases and right-size software agreements.* You communicate effectively across all organizational levels, building collaborative cross-functional relationships with Legal, Security, IT, and Finance teams.* You're process-oriented with high attention to detail, managing contract hygiene and critical notice windows across a high-volume portfolio.* You are authorized to work in the United States.
