Job summary

V2X, Inc. is seeking a Capture & Proposal Coordinator to support all administrative aspects of proposal development and ensure the security and integrity of documentation.

You will coordinate internal flow, manage production of master proposals, and support Proposal Managers from RFP release through award, interfacing with multiple departments. The role requires US citizenship, ability to obtain a secret clearance, and local presence in Orlando, FL.

Qualifications

• Bachelor's degree or equivalent combination of education and experience.
• One year of similar experience supporting Local, State, or Federal Government.
• Proficient in Microsoft Office Suite.
• Ability to produce compliant documents according to customer requirements.
• Understand government procurement, Federal government contracts, regulations and procedures.
• Experience in hard copy production.
• Experience in using AI tools.

Responsibilities

• Under guidance, create and updates pursuit SharePoint sites, ensuring accuracy, up-to-date resources, and accessibility.
• Establish and document electronic proposal file access and tracking protocols to ensure security and integrity.
• Assist in preparation and review of proposal outlines and Compliance Matrixes based on RFP requirements, using tools like VisibleThread or AI.
• Coordinate proposal kick-off meetings, Color Team Reviews, and interface with multiple departments to prepare onboarding documentation.
• Coordinate stand up activities, manage internal flow of proposal inputs/outputs, and maintain real-time development status of proposal text and graphics.
• Develop final production cycles, schedules, resources, and directing of production, reproduction, and binding of final master proposal.
• Participate in reviews to ensure proposal compliance with the RFP and coordinate comprehensive compliance reviews.
• Format text using styles and templates, create tables, import graphics and spreadsheets, and coordinate with editors and graphic artists.
• Prepare documents for color team reviews and final production, including CD/DVD burning, printing, and packaging for shipping.
• Under supervision, develop data calls to Operations/Field organizations or subcontractors when needed.
• Use AI to generate started drafts for technical narratives, past performance, and executive summaries; run internal AI reviews before submission.
