Job summary

Aurora San Diego is seeking a Staffing Coordinator to manage daily nursing staff schedules and coordinate with leadership on coverage needs. You will handle timekeeping, vacations, and education logistics, ensuring efficient operations in a fast-paced healthcare setting.

The role requires BLS certification, a health science background (preferred), a high school diploma or equivalent, and at least one year of clerical experience in healthcare or staffing. Proficiency with UKG is expected.

Qualifications

  • High School Diploma or equivalent.
  • BLS (Basic Life Support) Certification for Healthcare Providers following the American Heart Association guidelines.
  • Bachelor's degree in Health Science preferred.
  • One year clerical experience in healthcare, staffing, scheduling.
  • UKG system knowledge.

Responsibilities

  • Adjusts the daily staffing schedule, coordinating with nursing leadership based on acuity, census, and absenteeism.
  • Coordinates with the business office regarding staffing considerations.
  • Advises leadership on staffing needs that may require hiring FT, PT, or PD staff.
  • Manages staff usage and overtime to optimize coverage and costs.
  • Ensures timekeeping records are current for each pay period.
  • Reviews vacation/holiday requests and confirms coverage with nursing leadership.
  • Provides clerical support for nursing administration and maintains staff contact info.
  • Uses UKG Advance Scheduler and ASD Scheduler Mobile for staff communication.
  • Maintains records for Administrative Nursing personnel and coordinates educational activities for nursing staff.
  • Oversees F.T.E management and staff alignment with department goals.
  • Participates in process improvements and cost-saving initiatives.
  • Ensures confidentiality and professional behavior across the department.

Requirements:

Essential functions:
  • Adjusts the daily staffing schedule, problem-solving difficult situations with CNO, and ADON of Nursing based on change in acuity, change in census, sick calls, 1:1's and Q 5's
  • Coordinate with business office with military shopping.
  • Advises CNO/ADON of potential staffing needs that may require hiring FT, PT, or PD staff.
  • Manages appropriate usage of staff, manages appropriate usage of overtime hours.
  • Ensures time keeping system is updated and current for given pay period.
  • Receives vacation and holiday requests from nursing staff; advises CNO/ADON if staffing coverage is adequate for approval of requests in a timely manner.
  • Provides clerical support for nursing administration as requested, including maintaining current employee phone numbers.
  • Utilise scheduling tools and resources as directed. -UKG -UKG Advance Scheduler - Use ASD Scheduler Mobile Phone for all correspondence with staff.
  • Maintain record keeping for all Administrative Nursing Personnel.
  • Responsible for coordinating educational activities for all nursing staff.
  • Responsible for F.T.E management of Nursing staff.
  • Performs related duties as requested and all duties specifically outlined in the staffing coordinator competency checklist.
  • Upholds the organization's ethics and customer service standards.

  • Participates effectively in process improvement changes.
  • Originates action to improve existing conditions and processes.
  • Uses appropriate methods to identify opportunities, implement solutions, and measure impact.

  • Assists with new employee orientation.
  • Creates a receptive environment for new employees, making them welcome and assisting both informally and formally with new employee orientation.
  • Making sure each new employee receives and completed a competency packet and is assigned a preceptor and schedules orientation of each unit.
  • Maintains proper attendance- stays within attendance policy guidelines.
  • Regular/reliable attendance is required.
  • Demonstrates flexibility in scheduling.
  • Demonstrates safe work habits and knowledge of all related requirements and practices relative to job assignment.
  • Completes incident reports according to policy for work-related illness or injury.
  • Follows all established infection control practices.
  • Assists in maintaining a safe environment at ASD.
  • Knows emergency plans and participates in all emergency preparedness activities.
