As the Sr. Executive Assistant to the CPO, you will play a critical role in supporting the CPO and their Leadership Team. This is a fast-paced organization where you will work on confidential and high-visibility projects. You will be responsible for managing complex calendaring, preparing and managing executive staff meetings, and managing the Board of Directors agenda and logistics. If you are a highly motivated, proactive, and service-oriented individual who thrives in a fast-paced and innovative environment, this is the perfect opportunity for you.

What We Are Looking For?

Highly skilled and experienced project manager seeking a challenging role as a superhero with multiple "superpowers."

Possessing exceptional project management expertise, including managing complex tasks such as board planning, earnings call planning, travel, and crisis management.

A cultural fit for the organization, serving as a brand ambassador and leading by example.

Proven experience in publicly traded companies or large organizations with a strong IQ/EQ, strong work ethic, attention to detail, charisma, quick smarts, intuition, and the ability to make quick decisions.

Willing to go above and beyond to ensure success and exceed expectations.

Key Responsibilities:
  1. Enhances the CPO’s work by providing general assistance and organizational support on a daily basis, including engagement with internal and external clients and facilitation of many areas of inter-departmental communication.
  2. Coordinates and maintains the CPO’s calendar by organizing and arranging meetings, conferences, and video conferences; prioritizing functions and appointments, and ensuring that meetings, deadlines, presentations, and event logistics are handled without incident.
  3. Prepares reports on the state of significant projects, meeting action item reports, and updates that keep the CPO abreast of the status of projects, initiatives, and general operations at all times. Maintains and successfully manages the weekly, monthly, and long-term objectives of the scorecard, ensuring that required projects and follow-up activities are carried out.
  4. Eliminates obstacles and blockages that prevent the CPO office and time from operating efficiently. Operates autonomously to proactively solve problems, manage resources, ensure tasks and assignments are completed, and project deadlines are met.
  5. Sets up and arranges senior staff meetings, departmental meetings, meetings with external clients, and events, including travel logistics, agenda preparation, presentations, and general flow, to guarantee each meeting's success.
  6. Assumes the role of senior administrative leader, ensuring that other administrative support in all departments can coordinate and complete needed office and administrative responsibilities. This includes coordinating with leadership and support in all corporate divisions and ensuring timely reminders are sent out, as well as collecting and compiling deliverables as necessary.
  7. Plans and prepares for all CPO meetings, both internally and externally, by developing or researching background information on meeting participants, gathering information pertinent to the subject matter, and ensuring the CPO is knowledgeable about the meeting agenda and related topics.
  8. Prepares reports by gathering and evaluating data pertaining to the organization and the CPO responsibilities. Creates spreadsheets and charts, G-Suite presentations, visual representations and diagrams, and saves the CPO time by reading, investigating, and distributing correspondence, composing letters and papers, gathering and analyzing data, and starting interactions.
  9. Prepares written replies to the CPO communication, such as consumer inquiries, ideas, odd-form complaints, invitations, etc.; directs certain external correspondence to the relevant personnel and guarantees prompt response. Notifies the CPO of any odd or delicate correspondence.
  10. Supports all facets of customer interaction, including authoring text for outbound customer contacts and revising customer service talking points, frequently asked questions, and customer service training materials.
  11. Implements continuous process enhancements utilizing technology and best practices to enhance the efficiency of executive office operations.
  12. Completes specific initiatives specified by the Chief Executive Officer (CEO).
Key Requirements:
  1. 10+ years of experience directly supporting and working with CPO or C-suite level executives is required.
  2. Competent in using technology to improve work efficiency. Super-user proficiency with the full G-Suite, including Google Sheets, Docs, Slides, and Gmail and video conferencing platforms is required.
  3. Deep expertise in coordinating meeting scheduling and preparation, making national and international travel arrangements, providing project coordination support, and interacting with other EAs of executive officers, the board of directors, and management personnel inside and outside of the organization.
  4. Ability to compose high level correspondence and memoranda independently and with professional quality.
  5. Must possess a high level of professional discretion and ability to handle highly sensitive, confidential written, electronic, and oral communications concerning staff, and department.
